An exciting opportunity has arisen for a proactive and detail-oriented Project Coordinator to provide high quality management and administrative support to the Administration and Programmes Team (ADAPT).
ADAPT provides comprehensive programme management support to several research awards within the International Public Health and Clinical Science departments. The portfolio includes large, trans-disciplinary research consortia as well as supporting the work of individual team members. The successful candidate will assist projects to achieve their research objectives through contributing to and supervising the provision of research, managerial and logistical support.
Key responsibilities will include:
* Co-ordinate the development of workplans, liaising closely with the project Pls and internal and external stakeholders
* Design and manage programme and workplan tracking systems
* Plan and support national and international in-person, virtual and hybrid project meetings and training workshops
* Minute meetings, prepare meeting background documents and follow up on action points
* Coordinate the creation, formatting, referencing and editing of reports, research proposals and associated documents for funders
Project monitoring and evaluation
* Manage project reporting, closure and evaluation activities
* Organize and coordinate reviews of program work plans with partners and other stakeholders
* Coordinate compilation and dissemination, and support the production of reports to funders
* Manage the recording of project issues/risks and risk escalation processes
* Coordinate information requests and documentation on best practices
* Ensure prudent management of project finances and compliance with funder audit and reporting requirements,
* Process orders, invoices, and expense claims and ensure compliance with both the funder and LSTM procedures on all expenditure
* Work with Finance Business Partners to forecast budgets, monitor claims to the funder and ensure expenditure is as per forecast profile
* Maintain detailed financial information on programmatic expenditure
* Review financial reports received from partners and instigate deliverable payments outlined in subcontracts
* Support proposal writing with the preparation of simple project budgets and assist in the preparation of more complex budgets
Coordination of travel, events and meetings
* Oversee travel and hospitality arrangements for members of staff and visitors for both UK and overseas trips
* Coordinate national and international meetings, conferences and workshops, including booking travel, meeting rooms and hospitality
* reconcile receipts and payments following funders’ guidance and LSTM financial procedures
The ideal candidate will have excellent communication skills with experience working on large projects, ideally within an academic environment, and an understanding of the funding environment for research in the UK and Internationally. The successful post-holder will demonstrate:
* Qualified to A Level standard or equivalent qualification in relevant business administration subject
* Advanced working knowledge of relevant computer software (e.g. Microsoft Word, Excel, PowerPoint)
* Experience in financial management (budget preparation and reconciliation)
* Experience of monitoring timelines, milestones, and budgets across programmes
* Experience of working collaboratively with international partners
* Experience of minute taking and effective communication
