Main Purpose of Role
Ensure a smooth and professional first point of contact for all guests, supporting the seamless planning of all events. Assist in managing and operating sales and marketing departments and contribute to the success of the Golf club by maintaining standards and personalised customer service in accordance with the golf club policies.Ensure a firm control of costs in pursuit of profitability, efficiency, and guest satisfaction. Maintain open communication and build positive relationships with colleagues to ensure that all efforts are focused on improving levels of service to our customers.
Key Duties and Responsibilities:
* Act as the senior host and face of the club, ensuring all guests are warmly welcomed and supported throughout their visit
* Deliver all reception duties professionally, including answering calls, managing inboxes and assisting walk-in enquiries within agreed SLAs
* Assist in the sale of events (weddings, conferences, Christmas, public and private functions), working towards agreed enquiry-to-booking conversion targets
* Conduct show rounds and planning meetings; follow up promptly to drive conversion and capture reasons for lost business
* Prepare clear, accurate proposals and quotes in line with customer requirements and authorisation limits
* Manage all new enquiries using agreed templates; acknowledge and follow up within Sales Manager timelines/SLAs
* Provide regular pipeline, conversion and booking updates to the Sales Manager, including weekly snapshots and forecast risks
* Produce accurate BEOs/function sheets, floor plans and signage lists; distribute weekly function packs to Heads of Department
* Liaise with clients in the lead-up to confirm details, timings and final numbers; ensure a smooth internal handover to Operations, Kitchen, Bar and Housekeeping
* Support on-the-day delivery when scheduled, acting as a client point of contact to keep events running to time and standard
* Ensure all event information is correctly input and maintained in Intelligent Golf and related systems
* Run simple reports on enquiries, conversions, pace and upcoming functions as requested
* Liaise with external suppliers, ensuring briefs are clear and venue standards/compliance are met
* Handle all cabin guest communications pre- and post-stay, including access details and arrival coordination
* Monitor bedroom bookings and flag issues to the Sales Manager; support monthly accommodation reconciliation
* Process deposits, balances and refunds within limits; reconcile payments against bookings in line with T&Cs
* Manage monthly invoicing for accommodation, events and golf-related bookings; liaise with Accounts as needed
* Complete accurate end-of-day cashing up and banking
* Conduct and record weekly fire and health & safety checks; follow incident/accident reporting, licensing awareness, lone-working, opening/lock-up and lost-property procedures
