Role Context
Working directly with the Chief Executive Officer and Chief Financial Officer, this role provides high‑level, proactive executive and administrative support across a complex, fast‑paced international business. The Executive Assistant will act as a trusted partner to both executives, enabling the efficient running of the Executive Office, ensuring effective planning, prioritisation, and delivery of both strategic and operational activity. The role demands exceptional organisation, discretion, and judgement, with the ability to operate confidently across all levels of the organisation and external stakeholder groups.
Key Objectives and Accountabilities
Executive Support & Diary Management
* Proactively manage highly complex and frequently changing diaries for the CEO and CFO, aligning priorities with strategic objectives.
* Anticipate needs and prepare comprehensive briefings, itineraries and supporting materials for meetings and events.
* Coordinate global travel and logistics, ensuring smooth execution across multiple time zones.
* Screen, prioritise, and respond to emails and communications with professionalism, diplomacy and confidentiality.
Document & Information Management
* Develop and maintain efficient document management and version control systems tailored to Executive working styles.
* Prepare, review and circulate high‑quality reports, presentations and briefing materials in a timely manner.
* Uphold strict confidentiality and data integrity across all information handled on behalf of the Executive team.
Governance & Board Administration
* Lead the coordination and preparation of Executive Board and Main Board meeting agendas, papers and minutes.
* Track progress against key actions and ensure accountability for follow‑up deliverables.
* Liaise confidently with Board members, senior leaders and external stakeholders to ensure effective governance processes.
Stakeholder & Network Management
* Build and maintain strong relationships across the organisation and with key external partners and clients.
* Use influence and negotiation to secure Executive time for high‑priority meetings and engagements.
* Act as a key conduit between the Executive Office and the wider business, ensuring communication flow and visibility of priorities.
Project & Operational Delivery
* Take ownership of short‑term cross‑functional projects or strategic initiatives as directed by the CEO or CFO.
* Coordinate inputs from multiple departments to deliver projects on time and within budget.
* Support internal communications and employee engagement programmes, championing a positive and connected culture.
Skills, Experience & Attributes
* Proven experience as an Executive Assistant or Business Partner supporting C‑suite leaders in a complex, fast‑moving global organisation (preferably within luxury, retail, or FMCG sectors).
* Exceptional organisational skills, with the ability to manage multiple priorities.
* Strong written and verbal communication skills with meticulous attention to detail.
* High emotional intelligence, professionalism, and discretion in handling confidential information.
* Proficiency in Microsoft 365 and collaboration tools (Teams, SharePoint, PowerPoint, Excel).
* Confident and proactive problem‑solver with sound commercial acumen.
* Culturally aware and comfortable operating across international time zones and stakeholder groups.
