Job title: Commercial Administrator

Based from: Gloucester

Salary: Up to £32, per annum

The Role

As our Commercial Administrator you will be responsible for supporting the Commercial and Operational Teams with any tasks relating to commercial and contractual administration. You will ensure the smooth management of sub-contractor applications, cost controls and project financials; whilst upholding all company policies and procedures.

Duties and Responsibilities

1. Providing administration support to the Quantity Surveying and Operational Teams relating to commercial and contractual issues
2. Reviewing Sub-Contractor applications and allowances on variation accounts
3. Ensuring allowances within Sub-Contract orders for payments
4. Producing and managing Monthly Cost Control Reports to the project teams in a timely manner, ensuring information is accurate and challenging the team once returned
5. Attending the Monthly Project Commercial Reviews
6. Liaising between Procurement and Accounts to support the resolution of any invoicing/order queries
7. Supporting and ensuring all Company policies and procedures are strictly adhered to regarding commercial management of our clients and Sub-Contrators, including payment schedules, applications, certifications, variations, contract notices/conditions, etc.
8. Reviewing and challenging all ‘Non-recoverable Costs' in terms of reasons how and why they have occurred
9. Reviewing and issuing Project Actuals to Project Managers for review
10. Continually monitoring projected costs to completion in line with budget with Project Managers, Contract Director and Commercial Director
11. Ensuring that any overdue retention that is due to us is kept to a minimum
12. Monitoring the team inbox and ensuring all queries are dealt with in a timely manner
13. Any other duties specified by the line manager

Person Specification

Essential

14. Comprehensive knowledge of Microsoft Products (Excel/Word/PowerPoint/Etc)
15. Proactive diary management
16. Ability to work to tight deadlines and to be process driven
17. Ability to multitask and drive positive change in a fast-moving organisation
18. Excellent attention to detail, sound problem solving skills and analytical thinking with demonstrable experience of delivering action plans to resolve issues and remedy disputes
19. Excellent communication skills and ability to develop good working relationships with a broad range of stakeholders
20. Ability to work using own initiative
21. Proven record of working well as part of a team and being a positive influencer
22. Experience of being proactive
23. Desire to succeed and continually improve

Desirable

Extra training, skills and qualifications that are not an immediate requirement to the role but may show to be a benefit to any applicants

24. Understanding of Construction specific Contract forms including JCT and NEC forms of Contract
25. Understanding of contractual and commercial knowledge
26. Previous experience using software like Eque2 and Salesforce

Working Conditions

This role will be predominantly based in our Gloucester office; however, it may involve travel to site locations around the UK and may involve travel to Europe from time to time. Construction site locations will involve both inside and outside working environments and the employee will be required to use personal protective equipment.

34. Ensure all minimum training requirement are met in compliance with the relevant ISO standards
35. Ensure that any Information Technology ‘incidents' are effectively reported and resolved in a timely fashion (internally or externally)
36. Maintain clear desk and screen at all times
37. Compliance to ensure no deliberate breaches in security information and/ or systems
