FRONT OF HOUSE
* Answering the phone, door, and general gallery email address, and acting as first port of call for visitors and suppliers
* Being a warm and well-informed presence at the gallery for visitors and clients
* Passing on sales requests and updating the sales request list on Notion
* Sorting and sending post and ordering couriers
* Maintaining shared gallery calendar with art fairs, exhibitions, events, and meetings
* Maintaining gallery supplies and keeping office tidy and presentable
* Overseeing preparations for art fairs, including booking flights, hotels, and restaurants, and packing stationery and books for the booth
* Assisting the Registrar, Operations Manager, and gallery directors where required
ARTISTS’ ARCHIVES
* Liaising with gallery artists for exhibition and project updates
* Maintaining press packs, portfolios, CVs, and bibliographies
* Maintaining artist image files on the server by obtaining images from external galleries and museums
* Maintaining the catalogue and book archive
* Creating exhibition and sales PDFs
* Updating iPads ahead of art fairs and exhibitions
* Making, arranging, and sending certificates of authenticity to clients
* Liaising with other galleries to keep the archives updated
* Monitoring auctions for works by gallery artists
SOCIAL MEDIA/COMMUNICATIONS
* Maintaining mailing lists
* Assisting with website and social media
PRESS
* Responding to press requests
* Contacting relevant bodies to promote shows
* Compiling images and credit lines for publications
* Filling in exhibition listings’ websites
* Collating, scanning, and filing press for our archives
EVENTS
* Ordering drinks and supplies
* Booking restaurants and travel including taxis as required
* Setting up the bar, and clearing up before and after as necessary
* Assisting with invitations and guest lists
* Staying late as and when necessary
CANDIDATE REQUIREMENTS
* An interest in Herald St's programme and knowledge of our artists
* Strong interpersonal skills, as this role will involve liaising with and supporting artists, clients, curators, and members of the public
* Confident IT abilities including use of InDesign, Photoshop, Illustrator, Mac programmes, and Microsoft Office
* Excellent written communication and attention to detail
* Strong sense of teamwork and organisation, including self-motivation, planning, and meeting deadlines
* Ability to oversee multiple projects at once
* Previous gallery experience is desirable
* Mailchimp, Hootsuite, and graphic design/video editing skills are desirable
