Job Title: Office Administrator
Location: Lowestoft
Salary: from £24,000, up to 10% bonus and health cover
Help us create a better future, quicker. The administrator will support the smooth running of site operations through the provision of a professional and effective office coordination and administrative service to staff and visitors to the site.
What you’ll be doing
You will be responsible for the following:
Security
* First point of contact for visitors
* Security pass applications
* Implement Site Access Procedure
Site Inductions
* Coordinate site induction access for visitors and new employees/Contractors
Building
* Key Control (lockers, building)
* Building fire alarm tests, maintain records and fire marshal equipment (with HSEQC Manager support)
* Cleaners - maintain communication with Contracting company
* Ensure site visitors are welcomed on site, follow agreed signing–in procedures and are provided with general site safety information
* Ensure safe operation of the site office and the timely rectification of any issues identified in consultation with SP Business Services function
* Receive deliveries (for office use/equipment only) – refer further deliveries to Warehouse Coordinator
SMA Contractor Support
* Guest wi-fi access requests
* Locker allocation
* Site access pass requests
EAONE Email Inbox
* Monitor Site Admin Inbox – forward emails to relevant departments
Document Control
* Liaise with SPR document control department to obtain document numbers for file storage system (FILENET)
* Assisting O&M team with formatting procedures and forms
* Check procedures for corporate formatting compliance, i.e. use of correct templates, prior to going live
Stationery
* Ordering and distributing stationery from Corporate supplier
Planner
* Annual leave entries
* Training booking entries
What you’ll bring
* Proven track record in providing secretarial / administrative support
* General office duties (electronic filing, word processing, responding to queries, etc.)
* Working in a commercial environment
* Microsoft Excel spreadsheets – creation, input and maintenance
* Experience with SAP software or similar
* Previous experience working in the offshore wind industry or similar
