Role summary
:
Ensure that all mail room activities are undertaken in a timely and professional manner.
Key responsibilities:
1. Hours of business for relevant departments are as follows.
2. Distillery Building 7:00am – 17:00pm Monday to Friday
3. Post desk Four Courts 9:00am – 16:00pm Monday to Friday
4. Post room C.C.J. 8:30am – 16:00pm Monday to Friday
5. Team members are rotated regularly.
6. 7:00am – 16:00pm, 8:00 – 17:00pm
7. Sort and distribute all incoming DX mail to the following locations within the Law Library.
8. Distillery Building, Church Street Building, Four Courts, and Criminal Courts of Justice pre 9:00am.
9. Deliver incoming DX mail to P.R.A.
10. Deliver incoming DX mail to Court Services Departments in Phoenix House. Aras Ui Dhalaigh, High Court and Supreme Court.
11. Sort and distribute incoming DX mail to DX members in Merchant House exchange.
12. Take delivery of incoming An Post mail and distribute to members and relevant department in the Bar of Ireland.
13. Mail transfers throughout the day. This involves the collection and delivery of internal mail between the Church Street building, the Distillery building and the Four Courts.
14. Library book transfers – Crates of books are collected from the Distillery post room and delivered to the Issue Desk in the Four Courts. Crates of books are then collected from the Issue Desk and delivered to the post room in the Distillery building.
15. All outgoing DX mail to be placed in sacks and stored in the post room to await collection.
16. Outgoing An Post mail to be weighed and franked. For recharging purposes, to the Barristers’ account number is noted and the relevant cost allocated to their account.
17. Faxes – fax machines are checked every 10 minutes for incoming faxes.
18. Flyers should be printed and distributed to all members internal and country.
19. Stationery deliveries forwarded to the relevant members or a Bar Council representative.
20. Bar Review distributed to all internal members and enveloped for distribution to our country members of which there are 6 volumes annually.
21. Copying and binding as requested by members.
22. All correspondence for Country Members is inserted into envelopes, franked, and posted to the Country Member.
23. Deliveries to Court Services, Legal and General and Law Society within the Four Courts Complex on daily basis.
24. Take delivery of various personal items for members from couriers throughout the day.

25. To provide the mail room activities in a professional manner

27. To ensure customers’ goods are transported, stored safely, and treated with respect within the mail room.

28. Actively take part in continuous improvement activities, utilising skills, and knowledge to develop the company’s processes, services, and offerings.
Legislation / Compliance
29. To adhere to all relevant health and safety and statutory legislation.
30. Comply with all aspects of the Company’s Policies and Procedures.
31. Ensure the correct equipment and methods are utilised for the safe handling of mail items.
Knowledge, Skills, and Experience:
32. Experience of mail room operations is preferable, but not essential.
33. Ability to provide mailroom activities as listed above
34. Strong literacy and numeracy skills – The ability to interpret and complete paperwork
35. Basic computer skills
