Join our Macquarie Asset Management (MAM) Real Assets Infrastructure division. This is a fantastic opportunity for an enthusiastic Executive Assistant looking to apply your existing experience and develop your career. This is a fast-paced role requiring a positive, confident, and proactive approach for someone who can work productively in a pressurised environment.

This is a hybrid London-based role and requires a 3 days office working requirement.

What role will you play?

We are seeking a highly organised and proactive Executive Assistant to join our team. The ideal candidate will have extensive experience in calendar management, including booking meetings, resolving scheduling conflicts, and arranging rooms and catering. You will coordinate complex travel arrangements, such as flights, hotels, transportation, and visas, ensuring all details are managed efficiently. Additionally, you will handle processing purchase orders and invoices through Coupa, and manage monthly expense claims via Concur to meet strict deadlines. The role also involves producing and coordinating meeting documents, including printing, binding, and scanning, along with providing general administrative support such as organising large-scale events for the department and team. You will also provide ad hoc support to other Executive Assistants as required.


What you offer

* At least 5 years of work experience as an EA supporting senior directors and teams in a fast-paced office environment.
* Strong Outlook skills with the ability to manage multiple calendars across different time zones.
* Proficiency in MS Word, MS Excel, MS PowerPoint, and strong MS Outlook skills.
* Excellent attention to detail and organisational skills.
* Ability to prioritise conflicting tasks and make decisions accordingly.
* Proactive and enthusiastic attitude, with the ability to anticipate team needs and act accordingly.
* Good judgement and discretion regarding confidential matters.
* Strong team player with collaborative skills.
