Company Overview ​ Xoserve is the Central Data Service Provider, that sits at the heart of Britain’s complex gas market as a specialised contract management and assurance company. Xoserve maintains accountability for the delivery of the Data Services Contract for the industry, which is delivered by a key outsourced service provider. ​ Role Summary ​ The Project Planner, working in the Transformation Office, develops and maintains high-quality project and programme schedules across the Transformation Portfolio. They create clear, realistic plans, track dependencies, provide insight on progress and risk, and ensure consistent planning standards across all delivery activity. Working within the PMO, the Planner enables informed decision-making and provides a single, coherent view of milestones and timelines across the Transformation portfolio. ​ The Planner will maintain accurate, integrated project and programme plans aligned to PMO standards, ensuring high ‑ quality planning data and consistent use of planning tools. They will provide a clear view of key milestones, dependencies, and schedule risks across the portfolio, identifying and escalating any conflicts or deviations from the baseline. They will also supply planning insight to governance and leadership teams. ​ ​ Responsibilities ​ Planning & Scheduling: Develop and update detailed project schedules, including tasks, dependencies, sequencing and milestones. Build integrated programme and portfolio plans that highlight cross-project dependencies and critical paths across Xoserve and including plans managed by third party suppliers. Incorporate resource requirements and clarify ownership of key activities. Work with Project Leads and stakeholders to review progress and update plans. ​ Assurance & Control: Apply PMO planning standards, ensuring schedules are logical, realistic and aligned to scope. Challenge assumptions, date logic and dependencies constructively where needed. Identify schedule risks and support mitigation planning. Maintain baselines and track variance against them. ​ Insight & Reporting: Provide concise planning insights for portfolio reviews, governance packs and executive reporting. Highlight milestone movements, schedule impacts, risk hotspots and required decisions. Support scenario modelling for re-planning and recovery options. ​ Collaboration & Engagement: Engage regularly with PMs, Project Leads, Business Change and Technology to maintain accurate schedule data. Facilitate dependency mapping, milestone alignment and plan walkthrough sessions. Promote consistent planning practices and support capability uplift across delivery teams. Collaborate and work closely with other Project Support teams across Xoserve. Collaborate and align with third party suppliers PMO and planning team on plans managed by third parties. ​ Tooling & Data Quality: Maintain planning data in tools such as Asana, MS Project or Smartsheet. Ensure structures, naming conventions and reporting views are consistent and useful. ​ ​ ​ Specialist/Technical Expertise ​ ​ Essential ​ Strong experience planning in complex, multi-project or programme environments. Ability to build integrated schedules with multiple interdependencies. Strong organisational skills and disciplined approach to data quality. Analytical ability to identify inconsistencies and challenge constructively. Effective communicator, able to translate technical planning data into clear insights. Proficient in planning/PPM tools (MS Project, Asana, Smartsheet). Understanding of project governance and standard methodologies (PRINCE2, MSP, P3O). Experience supporting projects through their lifecycle, including planning, monitoring and re-planning. ​ Desirable ​ Experience in transformation, technology delivery or business change programmes. Understanding of risk, resource and financial planning processes.
