Support the Head of Governance, TDS Europe & Asia Pacific with team administration as required. The role will also provide support, as required, to other London Control and Support Functions.Responsibility for board diary management, in particular of external independent non-executive directors (INEDs) and general board administration with regard to all relevant subsidiary boards/committees in the region. Specific responsibilities include:as EA to and working closely with INEDs to schedule all UK and Ireland board and committee meetings, board training sessions, and regulatory meetingsinternal and external meetings across different time zones and booking meeting rooms for physical meetings in Dublin and Londonclosely with internal management and external parties (e.g., auditors or regulators) to schedule other regular touchpoints with INEDsgeneral support for INEDs such as answering HR/IT related queries, processing expenses, assisting with directors' travel requirements for meetings, registering INEDs for external or TD events etc.directors' information, such as email addresses, home addresses, timesheets, training records etc.closely with global EAs to schedule quarterly regional Europe & Asia-Pacific Supervisory Committee meetingswith administration and staff in the other TD regional officesmeetings for the EAP Governance team, including team meetings and meetings with other stakeholders, both internal and externalEAP Governance calendar to ensure all key dates are recorded, including availability of directors and senior management, other key internal senior management meetings, deadline reminders for board submissions, deadlines for filing documents with registrars etc.the EAP Governance team inbox on a daily basis and allocating actions accordinglyEAP Governance team's administrative records, such as contact information for board paper contributors, EA lists etc.team travel, processing expenses, team invoices.
