An exciting opportunity has arisen for an Office Administrator join our growing friendly team at Niftylift!


Niftylift Limited is one of the world's leading privately owned designers and manufacturers of mobile elevated work platforms. This success is comprehensively supported by a team of over 400 full-time members of staff across our three UK centres of excellence / manufacturing sites in the UK.


The Office Administrator will support multiple departments with administration tasks at our Hoyland manufacturing site.


The Role in More Detail:



The Office Administrator is responsible for the maintenance of documentation and data as required and general administration duties to ensure the smooth running of office activities. The maintenance, presentation and archiving of documentation and information required to maintain an accurate database (Visual ERP).


Key Responsibilities:


* Ensure all receipts are accurately booked in to Visual, liaising with Logistics Goods Inwards to ensure goods received have been checked and verified against physical deliveries, then are checked against purchase orders before being booked into the Visual system.
* When goods have been booked in, generate barcode GRN for Goods Inwards to transfer to the correct stock location.
* Matching of invoices and dealing with invoice discrepancies, liaising with the Purchasing Team, Department Managers and Suppliers to resolve invoice queries in good time to ensure accruals are kept to a minimum
* Report any variances on orders raised v invoiced for direct and indirect purchases.
* Updating quality database with invoice number and matching credit notes with PCN.
* Audit and re-order stationery in line with stocking policies.
* Audit and re-order work wear in line with company policies (free issue v employee purchases).
* Support when available the Engineering, Production, Manufacturing Engineering and Health, Safety & Environmental teams.
* When required generate works orders/ job cards and travellers to cover absence.
* Liaise with Health & Safety Officer and provide support for filing or scanning documents.
* Liaise with the Maintenance Manager and provide support for filing and scanning service documents, RAM's and Permit to Work.
* When needed to cover, answer and process general calls through switchboard.



Qualifications & Experience:

* Level 2 qualifications in English and Maths (GCSE grade 4 and above, or equivalent).
* Business Administration qualification desirable but not essential (training will be provided).
* Familiarity with ERP/MRP systems is desirable but not essential (training will be provided).
* Proficient in the use of Microsoft Office applications.
* Experienced problem solver, ability to identify root causes of problems and resolve them within the scope of the team (including suppliers).


Characteristics:

* Flexible in attitude to work on multiple requirements, capability to multi-task.
* Experience with dealing with people outside the organisation.
* Able to work to strict deadlines to complete allocated tasks and achieve allocated objectives.
* Organised, methodical & motivated to achieve personal objectives and support the team overall.
* Good verbal and written communication skills.
* Ability to work diligently, methodically and unsupervised. Attention to detail is extremely important.
* Be proactive in problem solving and have a fix it mentality.
* Be motivated to learn other areas in support of the Administration of the business.
* Liaise effectively with all staff.



Working Hours:


* Working hours for the role are 40 per week (07:30 - 16:30, Monday - Thursday, and 07:30 - 13:30 on Friday).
