Job Specification: Operations Manager (incl. Events & Partner Management)
Position: Operations Manager (VoH)
Work Schedule: 3 days/week
Salary: £36,000-£38,000 pro rata p/a (inclusive of Outer London Weighting) plus up to 6% pension
Purpose of the Role
Voices of Hope (VoH) is a growing charity with ambitious goals, supported by a dedicated team of staff and volunteers. As part of the VoH core management team, the Operations Manager will oversee daily operations, supporting the Chief Executive Officer (CEO) and advancing VoH's mission. The role involves strategic planning, operational oversight, staff and volunteer management, and responsibility for key fundraising events and partnerships.
Key Responsibilities
Operational Management
* Develop, implement, and manage operational policies and procedures.
* Ensure compliance with legal and regulatory requirements.
* Oversee day-to-day operations to maintain efficiency.
* Manage risk assessment and mitigation strategies.
* Support strategic planning and goal-setting within the management team.
Human Resources & Team Management
* Line manage staff and volunteers responsible for HR, office coordination, and business engagement.
* Oversee staff management processes, including KPIs, training, and development.
* Lead recruitment, onboarding, and performance evaluation processes.
Office, IT & Asset Management
* Manage cyber security, GDPR compliance, and IT infrastructure (Google Workspace, CRM systems).
* Oversee asset tracking, office coordination, and workspace allocation.
* Ensure the VoH website is maintained and aligned with the charity’s vision.
* Support project leads in collecting and analyzing impact data.
* Oversee independent research projects and organisation-wide impact reporting.
* Provide data insights to fundraising and grant-writing teams.
Events & Business Engagement
* Develop and implement business engagement strategies aligned with Corporate Social Responsibility (CSR).
* Manage relationships with corporate partners, sponsors, and key stakeholders.
* Plan and execute major fundraising events (Cycle of Change, AGM, Gala Dinner).
* Support other project areas with event planning (e.g., concerts, Pearl Project).
External Representation
* Represent VoH in public forums, conferences, and fundraising events.
* Act as an ambassador, fostering relationships to enhance the charity’s impact.
* Provide leadership support in the CEO’s absence.
Person SpecificationQualifications & Experience
* Proven experience in operational management within a charity, SME, or non-profit setting.
* Experience in staff and volunteer management.
* Track record of developing and implementing policies and procedures.
* Experience managing fundraising events and business engagement strategies.
* Knowledge of charity governance, legal compliance, and risk management.
* Competence in monitoring, evaluation, and impact reporting (MEAL).
* Experience in strategic planning and project management.
* Educated to degree level or equivalent professional experience.
* (Desirable: Relevant qualifications in management, HR, or non-profit leadership).
Skills & Knowledge
* Strong leadership and interpersonal skills.
* High-level organisational and project management abilities.
* Ability to manage multiple priorities and meet deadlines.
* Confident in data analysis, impact evaluation, and reporting.
* Excellent written and verbal communication skills.
* Financial literacy, including budgeting processes.
* Proficiency in Google Workspace and website/content management.
* Understanding of GDPR, cyber security, and data protection.
* (Desirable: Experience in grant writing or trust fundraising).

Terms & Conditions
Location: In-person role based at KingsGate Church, 161A Clarence St, KT1 1QT.
Probation: Six-month probation period. Permanent role, subject to funding.
Annual Leave: 28 days (including 8 bank holidays); increases to 33 days after one year. Pro-rated for part-time roles. The office is closed between Christmas and New Year and on Easter weekend.
Pension: VoH contributes up to 6% to match employee contributions.
Expenses: Reimbursed in line with VoH's expenses policy.
Safeguarding: Subject to DBS check and adherence to safeguarding policies.
