Job Summary
EX3 is seeking a highly motivated, organised, and empathetic HR Assistant to work closely with our HR Officer across a wide range of HR activities. Responsibilities will include:
* HR Administrative Tasks: Execute and continuously improve HR administrative tasks (contracts, pre-boarding, visas, letters, HR system changes, track employee attendance, and document management. Help prepare HR reports, presentations, and communications) – ensuring efficiency and effectiveness as well as a great experience for our people.
* Onboarding: Assist in onboarding new hires, preparing induction materials, and coordinating orientation sessions – ensuring a great experience for our new joiners that represents our company culture and values, and sets them up for success.
* Engagement: Support the HR Officer to deliver in-person and remote employee engagement initiatives and events that are inclusive and impactful for all employees.
* Benefits: Manage benefits systems and reporting. In partnership with the HR Officer, annually review and strategise around the future benefits offering.
* Support: Manage the HR inbox, working with the HR Officer to respond to queries or requests.
* Wellbeing: Support with planning and delivering inclusive and impactful wellbeing initiatives that reflect employee wants and needs.
* Health & Safety: Oversee effective and compliant workplace health & safety policies and procedures.
* People Projects: Support the HR Officer on the development of the people strategy and executing people priorities, e.g., embedding our values, changes to or creation of policies, learning, reward, performance, etc.
* Employee Relations: Work alongside the HR Officer on various ER cases.
* HR Systems: Administer the companies HR system, including any changes required to the system, and act as a super user. Also run reports and manage and MI requirements in the firm.
Qualifications, Knowledge & Experience
* Qualification in HR (e.g., CIPD) is desirable but not essential
* Proven experience as an HR Assistant or in a similar administrative role
* Exposure to HR policies and procedures
* Sound judgment and problem-solving skills
* Friendly, approachable, and professional demeanor
* Excellent communication skills
* Experience with SuccessFactors HCM is desirable but not essential
* MS Office suite experience
