If so, apply now, as we are looking for an Administrator (Conference Production Assistant) to join our Brighton team to provide essential administrative, coordination and operational support to our production team, to ensure the smooth delivery of international Business to Business conferences. You will manage key workflows, maintain accurate records, coordinate with speakers and other stakeholders, and support communication throughout the event lifecycle. There is no need for any travel in this role.
Working closely with producers, speakers, moderators, and internal teams, you will ensure deadlines are met, information is organised and conference sessions are delivered to a high standard.
What you’ll be doing:
1. Managing speaker and programme administration, ensuring accurate and up‑to‑date records.
2. Maintaining outreach tracking, follow‑ups and communication logs.
3. Acting as the main administrative contact for speakers, providing clear and timely communication.
4. Coordinating calendars, briefing sessions and preparation calls.
5. Requesting, gathering and organising speaker materials including bios, photos and presentations.
6. Distributing session guidelines and documentation, ensuring speakers are fully briefed.
7. Tracking deadlines and outstanding actions across multiple programme elements.
8. Supporting side events, workshops or add‑on activities as required.
9. Conducting desk‑based research, competitor tracking and landscape scanning.
10. Supporting internal production processes and projects.
11. Conducting outreach to new networks through exploratory calls and research.
