Job Overview
Applications are invited for an enthusiastic individual, to fill a position in our Private Client Department in the Port Talbot area. Experience working in a legal office environment is essential as is experience or, knowledge of working within the legal sector.
You must have good communication skills, be computer literate and be able to deal with members of the public and professionals in a calm and constructive manner. The ability to work as part of a team is essential. You may also be required to undertake other administrative duties.
You will be required to work 40 hours per week Monday to Friday 9am - 5pm (with an hour for lunch, unpaid). However, you may be required to work outside of these hours therefore flexibility and your own transport is also essential.
Remuneration will be dependent on experience but will be no less than £12.50 p.h.
A 3 month probationary period will be completed after which the position will be reviewed.
Main duties include:
* Providing full support to the fee earner from file opening to file closure
* Ensuring the firm's compliance processes and procedures are strictly adhered to
* Producing correspondence and other documentation via the firm's case management system
* Preparation of contract paperwork and online applications
* Attending on clients
* Maintenance of client files.
* Responding to enquiries on behalf of the fee earner.
* Assistance in general team administration including taking calls and acting accordingly
* Monitor the fee earner's inbox and respond to emails as necessary
* Management of fee earner diary
* Schedule appointments and meetings
* Maintain confidentiality of sensitive information
* Any other reasonable tasks
Essential skills and experience:
* Experience of at least 2 years working in a legal environment.
* Experience as a paralegal or legal assistant
Desired skills and experience:
* Strong and efficient secretarial and admin skills
* High level of attention to detail
* Fast, accurate typing ability
* Experience of using case management systems and external online systems is essential
* Excellent communication and interpersonal skills
* Well organised
* Friendly & professional attitude
* IT literate - Microsoft Word / Excel / Outlook / Case Management Systems
