Job Purpose To provide efficient and effective administrative support to the school, ensuring smooth day-to-day operations, excellent communication with parents/carers and staff, and compliance with statutory and school policies. Key Responsibilities General Administration * Act as the first point of contact for parents, visitors and staff; deal with enquiries promptly and professionally. * Manage incoming calls, emails and correspondence. * Maintain and update school records, databases and filing systems (including SIMS/Arbor or other MIS). * Prepare letters, reports, newsletters and other communications for parents and staff. Attendance & Pupil Records * Record, monitor and report on pupil attendance and punctuality. * Maintain accurate pupil records, including admissions, leavers, and safeguarding information. * Assist with school census returns and statutory data submissions. Finance & HR (if applicable) * Process purchase orders, invoices, and payments in line with school financial procedures. * Assist with payroll information, staff absence records, and recruitment paperwork. Events & Logistics * Support the organisation of school events, meetings, and trips. * Manage room bookings, hospitality, and resources as required. Compliance & Safeguarding * Ensure visitor sign-in and safeguarding procedures are followed. * Maintain confidentiality of information at all times. * Support with DBS checks and safer recruitment documentation where required. Person Specification Essential: * Previous administrative experience (school or similar environment desirable). * Excellent organisational and time management skills. * Strong written and verbal communication skills. * Proficiency in Microsoft Office and/or school MIS systems. * Ability to work under pressure, multitask and meet deadlines. * Commitment to safeguarding and confidentiality. Desirable: * Knowledge of school systems such as SIMS, Arbor or Bromcom. * Experience of working with children and families. * First aid training.
