We are recruiting a temporary Clinic Prep Clerk for the Health Care Operations Department at the RAEI site, Wigan. The role is fixed‑term for 12 months, but there is potential for permanent placement.
The service operates 7am‑5pm Monday to Friday. You will need to cover flexible hours within this window.
Main duties of the job
The post holder will provide full administrative support to the Outpatient Service Department by preparing clinics and receiving patients. You will be a motivated, enthusiastic team member with excellent communication skills and ability to use general office systems in a customer‑focused environment. Patient‑centred care and first‑class customer service are essential.
Job responsibilities
* Ensure all patient case‑notes are prepared and available before the clinic.
* Receive patients at reception, update demographic details on HIS and in case‑notes.
* Book patient follow‑up appointments in line with clinic rules and handle enquiries.
* Record clinic outcomes and other information within agreed deadlines.
* Transport case‑notes securely in accordance with Caldicott guidance.
* Assist medical and nursing staff with queries during the clinic.
* Manage walk‑in patients, ensuring rapid case‑note processing.
* Provide clinic lists, booking summaries, and patient labels for consultants and nursing staff.
* Ensure consultant correspondence is processed accurately.
* Liaise with the Transport Department to meet send/receive deadlines.
* Provide cover when necessary.
* Receive and process telephone messages following instructions.
* Use Trust IT resources appropriately and comply with policies.
* Maintain accurate, timely and legible records.
* Handle all records (paper, electronic, etc.) responsibly.
* Demonstrate effective communication and awareness of patient needs.
* Provide other duties as required for this grade.
Person Specification
* Must be able to work flexibly and cover annual leave or sickness as needed.
* Speak English fluently with confidence and accuracy.
* Knowledge of general office systems and protocols in a customer‑related environment.
* Ability to follow guidelines and procedures.
* Knowledge of IT systems and workplace packages.
* Good understanding of customer care practices and procedures.
* Demonstrated keyboard skills with attention to accuracy.
* Good telephone manner.
* Team player who can work independently.
* Excellent communication skills across all disciplines.
* Strong organisational and time‑management skills.
* Ability to learn quickly and adapt to change.
* Experience in a busy administrative setting with frequent interruptions.
* Recent administrative/office experience.
* Experience using IT systems in the workplace.
* Educated to GCSE (or equivalent) or equivalent experience.
* Committed to the Rehabilitation of Offenders Act and DBS checking.
