About the Role
This is a hybrid role that combines administration, logistics, basic account management, and trade show coordination. You'll be based at our South Queensferry office, working Monday to Friday, 9am to 5pm (37.5 hours/week). You'll also be expected to travel to trade shows and events — sometimes supported by the team, sometimes solo, so confidence, initiative, and attention to detail are essential.
This is not a sales rep job, but it is a key part of our commercial and operations team. You'll help us stay organised, get things done, and present our brands professionally to the outside world.
Key Responsibilities
Operations & Admin:
* Respond to customer service emails and B2B/DTC enquiries
* Use systems like Unleashed and Xero to process orders and manage stock
* Create and maintain spreadsheets, trackers, and internal documents
* Prepare invoices, purchase orders, shipping and customs paperwork
* Book couriers and coordinate dispatches
* Manage incoming samples, stock, and general office admin
* Provide admin support to the wider team (sales, product, ops, marketing)
* Pitch in wherever needed - everyone does
Sales Support, Pricing & Account Management:
* Create costings, quotes and pricing for bespoke or corporate orders
* Understand and calculate basic gross margins and cost of goods sold
* Work with our Head of Sales to manage key B2B accounts, especially repeat and wholesale customers
* Track and support incoming leads, helping move them through the pipeline
* Handle post-order follow-up and issue resolution for managed accounts
Trade Shows & Brand Representation:
* Book flights, accommodation, samples, and equipment for trade shows
* Attend shows and present our brands confidently and professionally
* Represent the business to customers, buyers, and distributors at events
* Take the lead on event set-up, travel, and logistics — including solo shows
What We're Looking For
* Strong admin experience in an operational, sales support, or logistics role
* Commercially sharp, able to handle numbers, costings, and pricing with confidence
* Organised, self-motivated, and able to manage your own time
* Confident communicator with good writing skills and professional presence
* Experience using tools like Excel, Xero, Unleashed, or similar (preferred)
* Willingness to travel occasionally and work some weekends for events
* Calm under pressure and able to troubleshoot on the go
* Team player with a "no task too small" attitude
* Practical, proactive, and solutions-focused
