Job Description
We're looking for an organised, proactive Office Administrator/PA to support our team and help us scale.
In addition to our construction and renovation projects, we are currently expanding into the
import/export of high-quality building materials, including kitchens, doors, flooring, wall
panelling, and furniture.
Key Responsibilities
Office & Administrative Support
* Communication with SCG Team, Clients & Suppliers
* Managing incoming and outgoing post, including sorting, distributing, scanning, and printing documents and samples.
* Maintaining accurate digital filing systems.
Scheduling & Coordination
* Scheduling appointments, meetings, and site visits for the team
* Preparing meeting agendas and coordinating conference arrangements
* Taking detailed and accurate meeting minutes and distributing them to relevant parties
Business Support
* Making travel and accommodation arrangements for the team when required.
* Processing orders via email, phone, and online platforms.
* Liaising with suppliers, clients, and subcontractors as needed.
* Supporting the management team with day-to-day tasks and ad-hoc projects
* Assisting with the documentation of business processes and procedures
* Research business related compliance and operational requirements
Building Materials & Contracts
* Assisting with sourcing building materials (kitchens, doors, flooring, furniture, etc.) for projects and import/export.
* Liaising with suppliers, with input from the Team
* Assisting with formatting contracts and agreements
Skills & Attributes
* Strong organisational and multitasking skills with attention to detail.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
* Ability to clearly communicate priorities at times of higher workload
* A proactive and professional approach with the ability to work independently and as part of a team.
* Previous experience in office administration or operations
* Previous experience in the construction industry
* Bonus if you have contract administration experience.
* Bonus if you have a conversation level of Mandarin Chinese
