We are currently recruiting for a PA on a Temporary ongoing basis to support our client in Shrewsbury with a growing workload.
Executive Support
1. Provide full PA support to the MD, including managing telephone messages and email correspondence while the MD is out of the office
2. Manage and maintain the MD’s electronic and paper diary, including full appointment details (name, address, contact details)
3. Send emails and correspondence on behalf of the MD (via dictation or telephone instruction)
4. Complete digital dictation for renewal letters, emails, file notes and related documents (including amending schedules/letters and occasionally drafting new business correspondence)
5. Prepare files for the MD’s meetings and visits, occasionally organise personal tasks/items for the MD
Client Communication & Service
6. Prioritise all client communication, ensuring timely responses in line with company procedures
7. Action and respond to client emails, sourcing information as required
8. Conduct all aspects of account handling: new business, technical preparation, renewals, mid-term adjustments, and claims
9. Maintain a professional working relationship with clients and deliver a consistently high level of customer service
10. Ensure bad debt queries are managed efficiently and in line with procedures
11. Liaise with PR & Marketing (Clare Rowson) regarding company promotions
12. Organise company shows/events (e.g., RWS in July, Oswestry Show in August), including booking caterers and supporting logistics
13. Organise and distribute company calendars for clients
Administration & Compliance
14. Maintain all electronic and paper files to FCA-compliant standards
15. Keep accurate and up-to-date client and internal records
16. Process data and invoices on the Acturis system
17. Process premium payments across company platforms
18. Collate and prepare documentation relating to client claims
19. Manage post distribution daily
Office Management
20. Manage reception duties, including client/supplier meet & greet
21. Organise and liaise with cleaning contractors
22. Oversee office equipment contracts (printers, photocopiers, franking machine)
23. Order stationery and kitchen supplies, manage utility contracts and meter readings
24. Maintain general office housekeeping
25. Liaise with staff on behalf of the MD when required
Experience required:
26. Experience working in a fast-paced administrative role and within an insurance environment
27. Previous experience working as a PA
28. Acturis experience (preferred)
29. Able to work independently and within a team
30. Excellent written and verbal communication skills
Working Hours: Mon-Fri 9am – 5pm | 1-hour lunch
