Multi Services Assistant

Salary: £20,200.00 per annum, plus company benefits

Location: Nottingham, NG1 7BQ

Contract: Part Time, Permanent

Shifts: 30 hours per week, working Monday to Thursday, 8:30am to 17:00 with 1 hour lunch unpaid

Work model: Fully onsite

Williams Lea seeks a Multi Services Assistant to join our team!

Purpose of role

Multi Service Assistant duties include welcoming clients and visitors to the office, managing meeting rooms, organising and preparing hospitality, delivering hospitality and offering administrative support across the firm. Every task which is undertaken must be delivered with an exceptional customer service approach.

To be successful as a Multi Service Assistant, you must have strong customer services skills, and with the ability to easily build rapport with people. A key skill will be your ability to prioritise urgent tasks in a timely and effective manner. This role requires working between Monday to Thursday, 8:30am to 17:00 working 7.5 hours per day. This is a hands-on role and will involve working alongside Williams Lea team members to deliver the overall service.

Key responsibilities

1. Welcoming guests in the office lobby as the main point of contact for any visitor/guest or employee for the organisation
2. Ensuring a seamless and personal guest journey
3. Process and confirming meeting room requests
4. Escorting guests to their booked meeting room within the building, informing the host of the guest’s arrival
5. Ordering, organising, delivering, clearing and assisting with hospitality and events
6. Attending to guests wishes and requirements.
7. Setting up audio visual systems and trouble-shooting problems
8. Populating data collection workbooks
9. Continually monitor reception inbox ensuring e-mails are responded to in a timely manner
10. Booking of transport for employees and clients
11. Occasional requirement to support client functions that run into the evening
12. Always acting according to the client’s standards

Personal attributes

13. Previous experiences in a front of house role or working on a reception desk for a corporate company
14. Outstanding guest services skills, committed attitude and dedication to creating a memorable guest experience
15. Team focused
16. Fluent written and spoken English
17. Professionally presented
18. Have great interpersonal skills and an outgoing personality
19. Experience of email and Microsoft packages
