An opportunity has arisen for an Administrator tojoin our busy and forward-thinking practice. Grovelands is dedicated toproviding safe and compassionate care to our approximately 14,000patients. We are an Emis practice of 7 Partners, 3 Salaried GPs includingPharmacy team, Paramedics and a Nursing team together with a knowledgeablereception and admin support.
We are seeking an enthusiastic andmotivated individual who has proven experience within a primary care settingand preferably proficient in the use of Docman, to undertake clinical coding ofhospital/clinic and miscellaneous correspondence within the practice.
Main duties of the job
This role will include daily processingof all incoming correspondence to the surgery, received either physically orelectronically by scanning and actioning as necessary using Docman, in order tomaintain accurate patient medical records. The ideal candidate will be able toextract the necessary data from correspondence using workflow optimisation andinput this via clinical coding using SNOMED-CT, or distribute as needed toother members of the team for action.

Job responsibilities
The Administrator (Clinical Coding) will be required toundertake the following duties;
Maintainand process all incoming and outgoing correspondences adequately and in linewith practice procedures
Dailyprocessing of incoming correspondence via post or electronically
Dailyscanning of received clinical letters into Docman for processing.
Importationof electronically received clinical letters into Docman for processing.
Distributingclinic letters fairly and according to addressed clinical recipient.
Usingworkflow optimisation to reduce GP workload through direct processing with noclinical input of a variety of correspondence types A&E letters,referral letters, if no clinical input is required.
Ensuringall clinical correspondence is correctly filed in electronic patient records,in accordance with letter/department type and dates.
Extractionof relevant data from clinical letters for coding onto electronic patientrecords, using the clinical code browser to select the most clinicallyappropriate SNOMED-CT code.
Distributionof all received post to appropriate team members as necessary if not requiredfor clinical coding.
Filingof received clinical correspondence in a correct manner, in accordance withpractice policy.
Ensuringclinical letter actions are undertaken in a timely manner, either throughdistribution of actions to relevant team members, or through direct action fromyourself as administrator booking an appointment or requesting a bloodtest
