Offer description

Provide an effective, professional, and confidential executive assistant function primarily to the Principal & CEO and the Senior Leadership Team, including the Director of Governance and Chair of Governors as required.

The role will manage business-related tasks such as creating reports, organising travel and accommodation, taking minutes, and consulting with all levels of management, staff across the college, students, parents, and external agencies.

Support the Senior Leadership team to undertake their roles effectively through organisation and prioritisation.

A detailed understanding of the full Microsoft Office suite is essential. The role requires excellent problem-solving and customer service skills. Experience in executive or higher-level administration is essential.

Special Conditions

This is a fixed-term post to cover maternity leave, initially up to 12 months or sooner upon return of the substantive post holder.

This post is subject to a 6-month probationary period.

A full enhanced disclosure check via the Disclosure & Barring Service will be required.


Key Duties

* Service senior management team meetings, including minutes, action point follow-up, and liaising with the Principal/SLT in a timely manner.
* Organise travel and meetings.
* Manage diaries and schedules for the senior team meticulously.
* File and retrieve corporate records, documents, and reports.
* Research and prepare documents for review and presentation by boards, committees, and executives.
* Handle incoming post, emails, and correspondence.
* Operate as a virtual/remote Executive assistant if required.
* Coordinate sensitive issues upon request of the Principal & CEO.
* Assist in preparing and editing communications, mails, letters, presentations, and other documents.
* Collaborate with departments like IT, Marketing, MIS, and Finance.
* Support FOI and GDPR requests, governance issues, and complaints procedures.
* Support, plan, and coordinate projects within the Executive team.
* Act as a trusted Executive Assistant to the senior leadership team.
* Manage production timelines for the Senior Management Team, liaising with external services as needed.
* Support the minuting and coordination of Governor meetings.
* Liaise with the Director of Governance for timely minutes, reports, and information.
* Coordinate external inspections.
* Contribute to the achievement of SLT targets through high-quality information production.
* Respond to external agencies to meet deadlines and ensure high-quality information sharing.
* Develop innovative ways of working for the senior team.
* Reflect the College’s values in working practices with internal and external clients.
* Support governance functions.
* Contribute to key College events such as awards ceremonies, open days, and enrolments.
* Implement the College's equality, diversity, and safeguarding policies to ensure health, safety, and welfare.
* Perform any other duties commensurate with grade and status as requested.


Person Specific

The ideal candidate will meet all essential requirements and some desirable ones.


Qualifications

* Qualification in Business Administration or equivalent.
* Educated to A level or equivalent.
* Minimum Level 2 qualification in English and Maths.


Experience

* Proven experience as an executive assistant or similar administrative support role.
* Ability to produce high-quality professional work.
* Experience in project management.
* Experience working in a highly confidential environment.


Knowledge and Skills

* Excellent IT skills, including Office 365.
* Knowledge of financial budget management.
* Strong organisational and administrative skills.
* Excellent customer service skills.
* Ability to present accurate information clearly and concisely.
* Excellent communication skills.
* High accuracy in detailed work.
* Well organised, able to work under pressure, meet deadlines with minimal supervision.
