The Role We are currently seeking a detail-oriented individual to act as the first point of contact for visitors, clients, and callers, providing a professional and welcoming service at all times. Alongside reception duties, the role also provides administrative support. The working hours for this role are Monday to Friday, 8am until 4:30pm. To operate the switchboard and maintain at all times a prompt and efficient service. Manage the reception area to ensure it is tidy and presentable at all times. Operate the security gates at the Main entrance and Despatch entrance to the site Attend to visitors in a warm and professional manner Handle incoming and outgoing mail, deliveries, and courier arrangements. Administration of temporary Wi-Fi access for guests. Add, deactivate, and manage fobs for door access systems. Manage visitor logs and issue access fobs in line with security procedures. Schedule and coordinate meetings, including room bookings and food/refreshments. Ordering, control and distribution of workwear and safety shoes via suppliers on an ad hoc basis. Update and manage noticeboards and SWTV with relevant information and announcements. Collect the fire alarm roll-call list and ensure this is taken to the emergency point in the event of a fire/emergency. Organise flight, hotel and travel arrangements and administration for site personnel Book hotel and taxi arrangements for visiting personnel Book hire cars and administration of company pool car(s) Full responsibility of site stationery requirements To support HR with admin, data entry and data analysis tasks Assist HR and the management teams with minute-taking To support the operation with administration and data input in the form of spreadsheets/graphs/trends/analysis etc. Administrator for the full site telephone system. Ordering and responsibility for the stationery for site. Liaise with IT and suppliers regarding the stock levels of printer cartridges, photocopier toners etc. Input purchase order requisitions into the SAP system. Assist Finance with invoice and PO queries, ensuring compliance with procurement policies. Assist with organising company events or staff communications. Key Skills: Previous experience in a receptionist or administrative role (desirable). Excellent communication and interpersonal skills. Strong organisational and time management skills. Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint). Professional telephone manner and confident in dealing with people at all levels. Ability to multitask and work under pressure while maintaining accuracy. Discreet, trustworthy, and able to handle confidential information. Ability to type quickly and accurately and possess strong admin/secretarial experience. Able to communicate clearly and concisely both on the telephone and face to face and able to interact with employees at all levels and visitors to the plant. Must maintain friendly and courteous disposition at all times whilst on Reception. It is expected that proficiency would be reached within 3 months Cope with multi-task requests, working to deadline and be able to priorities accordingly. Experience of SAP (desirable) Knowledge of purchasing process Personal Characteristics: Friendly, approachable, and professional. Proactive with a “can-do” attitude. Flexible and adaptable to changing priorities. Team player who also works well independently.
