COMPANY SUMMARY
Eccord is a leading residential property search and property management company specialising in prime central London.
Our acquisition team expertly represent individuals, families and family offices buying prime and super prime properties for themselves or investment. Our property management team provide meticulous rental and property management services for 100+ individual and portfolio landlords and private home owners.
ROLE SUMMARY
We are looking to recruit a dynamic portfolio coordinator with meticulous attention to detail to play an integral role within our growing rental property management team. They will be responsible for organising and coordinating the administrative function of a portfolio of 100+ properties, contributing to high levels of accuracy and an exceptional landlord and tenant experience.
Strong organisational, communication and multi-tasking skills are essential, as well as a proactive ‘can do’ attitude and growth mindset.
KEY RESPONSIBILITIES
PRE-TENANCY & END OF TENANCY
* Arrange and coordinate pre-tenancy and end of tenancy appointments (e.g. arrange check ins/outs and cleans, process keys)
* Prepare and update tenant property handbooks ahead of move in.
* Ensure utilities are set up and closed down via online portal.
PROPERTY MANAGEMENT
* Liaise with third parties as required to ensure thorough onboarding for new properties.
* Ensure keys are correctly logged and tagged.
* Track inspection due dates, plan inspection itineraries on behalf of the property manager, liaise with tenants/third parties for access and finalise inspection reports once carried out.
* Liaise with contractors to arrange and renew safety and compliance certificates.
* Update deposit registrations with the Tenancy Deposit Scheme (TDS).
* Monitor general property management email inbox and action as required.
CONTRACTOR MANAGEMENT
* Be the primary contact for contractors visiting the office.
* Ensure contractor invoices are received promptly and accurately uploaded to the system.
* Manage relationship with out of hours third party, ensuring they are kept informed with property portfolio changes.
CANDIDATE PROFILE
* A genuine passion for driving and improving processes.
* Attention to detail is essential and the individual must be organised, methodical, able to multitask, prioritise effectively and remain calm in a fast-moving environment.
* Excellent written and spoken communication skills are paramount in order to succinctly and clearly update and coordinate colleagues and third parties to ensure actions are delivered on time and to the highest standard.
* Growth mindset and a willingness to welcome feedback and action it.
* Strong team player
* Technologically savvy and can confidently navigate software systems.
* Professional and presentable, both in person and on the phone/in written form.
REQUIRED WORK EXPERIENCE & SKILLS
* A’ level or equivalent higher education.
* Minimum 2 year’s professional administration experience, ideally within the property industry but not essential.
* Technologically confident/accurate IT & data inputting skills.
* Proficient in Microsoft Outlook, Word & Excel
* Excellent written and verbal English language
