The Role
As an Executive Assistant, you will provide administrative assistance to the TCS Scotland Head and Sales Director UK&I. You will be the single point of contact for TCS Scotland and the Sales Team, managing the Scotland office and completing administrative and organisational duties. Travel to London and other TCS locations may be required occasionally.
Key responsibilities:
Personal Assistant to Head of Sales
* Arrange meetings & travel for the TCS Scotland Head.
* Create/update presentations and articles on Scotland activities for meetings, events, panels, bids, PR, etc.
* Handle registrations for events.
* Manage legal documents.
* Approve actions for travel, claims, leave, visas, equipment, and services.
* Update leave planner for the sales team.
* Support onboarding of new employees, including tagging, updating systems, and arranging equipment.
* Ensure allocations are tagged quarterly for all team members.
Scotland Business & Account Teams Support
* Collate and present management data for the monthly Scotland report.
* Arrange and attend quarterly Scotland Account calls.
* Manage membership renewal dates and invoice payments.
* Support merchandising and branding requests for events.
* Administer and update the Scotland site.
* Communicate information and initiatives, and collate information from account teams.
Office Management
* Arrange annual rental contract renewal.
* Provide annual budget figures for office costs.
* Prepare monthly Health & Safety, Sustainability, and Admin reports.
* Handle payment of invoices for office rental and services.
* Submit Business Rate applications and maintain accounts.
* Control security and access to the office and car park.
* Order office supplies, book meeting spaces, and arrange maintenance as needed.
* Support visitors and coordinate events and meetings in the office.
Events, Marketing & PR
* Support event arrangements, including venue sourcing, budgeting, invoicing, speaker arrangements, invitations, liaising with teams and external agencies, reporting, and post-event follow-up.
* Assist with submissions for awards and sponsorship opportunities.
* Support PR & social media activities.
Corporate Social Responsibility (CSR)
* Promote and support UKI STEM/CSR initiatives in Scotland.
* Generate reports and attend monthly calls.
* Provide general ad hoc admin support.
Your Profile
Key Skills/Knowledge/Experience
* Excellent organisational, planning, and interpersonal skills.
* Ability to build relationships at all levels, internally and externally.
* Adaptability to fast-moving deadlines and multiple requests.
* Excellent written and verbal communication skills.
* Proficiency with Office 365 and quick learner of new systems.
* Ability to work autonomously and proactively, as well as part of a team, remotely and in person.
* Confidentiality and professionalism.
* Experience in a similar role, including PA/EA for senior management, event management, and handling confidential information.
* Skills in management, data collation, reporting, and office management.
