Our industry leading investment banking client are looking for a admin on a 12 month contract, inside IR35.
Key Responsibilities:
1. Organization of meetings including preparation of documentation and invitations
2. Manage all visa requirements – including travel bookings and travel itineraries if last minute
3. Prepare and check all Expense management have been processing following the bank policies, for transmission to SSC Lisbon
4. General Services management, including but not limited to photocopying, filing and archiving, scanning, ordering magazines, stationery, payment of invoices, arranging couriers, business cards.
5. Assisting with desk moves/seating plan management, liaison with Office Infrastructure Manager.
6. Area Management (ensure that Health and Safety is in line)
7. Management of distribution lists and organisation charts.
8. On-boarding coordinator and point of contact for all visiting employees.
9. Provide support to Line Managers for Leavers, transfer and Graduates check list
10. Point of contact to all GM staff visitor outside of UK
11. Raise and chase IT requests on behalf of GM staff
12. Small scale events (
* Providing seamless cover for other GBL assistants during leaves (lunchtimes, sickness and holidays) and covering telephone lines as and when necessary – taking messages.
* Organising your cover during your absence to ensure business continuity, by using One-Note
* Making sure to be available during working hours.
* Close collaboration with the other assistants to ensure a consistent and streamlined service is provided across all teams.
* Contribute as a collaborative team player
* Leverage strong communication and interpersonal skills to foster a positive and cohesive work environment
* Building and maintain professional relationships across
* Actively participating as a team player (participating and attending Team meetings)
