An position has come up within our Clinical Support team working a minimum of 20 hours over two days (Thursday and Friday). We are seeking a friendly and organised individual to support the General Practitioners smooth running of clinics by performing the more routine administration and clinical tasks on behalf of the GP, freeing up their time to focus on the patient. You will need to be forward thinking and able to adapt to change effectively and positively in line with the organisational goals to provide a cost‑effective service to our patients.


Main duties of the job

To provide efficient typing and word processing service for GPs and Health Professionals as required. This includes the typing of letters, assist with completing reports, send patient referrals, responding to e-mails, memorandums etc in an accurate and efficient manner.


Job responsibilities

The following list of duties should not be regarded as definitive as they may be reviewed from time to time to take account of changing circumstances. Also, tasks and duties may be redistributed amongst the Clinical & Admin Support staff as necessary, and cooperation should not be unreasonably withheld.

To provide efficient typing and word processing service for GPs and Health Professionals as required. This includes the typing of letters, assist with completing reports, send patient referrals, responding to e-mails, memorandums etc in an accurate and efficient manner.

To liaise with patients, the public and other healthcare professionals as necessary.

To be proficient at prioritising and organising administrative work generated by hospitals, Health Authority, Primary Care Organisations, patients etc., and to share workload with other Clinical & Admin Support staff as necessary.

To receive incoming and initiate outgoing telephone calls to deal with appropriate queries.

File results, clinical correspondence, letters and various other documentation in the clinical systems, using Docman in SystmOne and Anima software.

Review all incoming correspondence and enter, using read codes, pertinent information into the patients electronic medical record in accordance with the coding protocol. This will include data highlighted by clinicians as well as data required to meet contractual obligations.

Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms.

Organise the incoming medical records of patients whom you are coding, to summarise problem titles, group symptom development and assign the appropriate status to medical information.

Recognise own knowledge limits and seek advice from clinical or administrative colleagues as appropriate.

Maintain comprehensive office systems ensuring prompt access to information.

Ensure shared knowledge within the team.

Contribute to ongoing projects as required.

Keep up to date with technological developments with regard to developing appropriate skills in the use of current office technology. e.g. Anima software, word processing, spreadsheets, databases, electronic mail, presentations etc.

Maintain and encourage safe working practices and environment in accordance with local Health and Safety Policies.

Flexibility to work across various sites.

Ensuring the workstation is left clean and secure at the end of the working day.

Contribute ideas for changes and improvements to the service.

Attend staff meetings when required.

Complete mandatory and statutory training as required by the Practice.


Person Specification


Qualifications

* Sound educational background with excellent literacy and numeracy skills.
* ECDL NVQ 2 Business Admin Customer Care/Service Medical terminology NHS Experience.


Experience

* Computer literate
* Experience of using Word and Excel
* Experience of various clinical systems
* Confident in using the telephone
* Experience of offering high quality customer care
* Attention to detail
* Able to work on own initiative
* Good standard of verbal and written English
* Experience of medical record summarising
* Experience working in general practice
* Experience of online triage
* Experience of Systm1
* Experience of all aspects of day‑to‑day Patient Services operations.
