Overview

Facilities Manager role at Lambert Smith Hampton (LSH). Location: Sheffield based with site visits across Leicestershire, Nottinghamshire, Lincolnshire and South Yorkshire. The Facilities Manager is employed by LSH and is expected to work towards a professional qualification (Affiliate IWFM or Associate IWFM) during the first two years of employment, with potential progression to Senior Facilities Manager with the right experience and competency.

The role includes the management of a portfolio of properties and the delivery of the agreed services to each site according to the Property Management Agreement, delivering a consistently high standard of Facilities Management service within a predefined scope to unmanned properties, while collaborating with wider Commercial Property Management colleagues. You will coordinate the operational day-to-day aspects of building management, including contractor management, planning and carrying out maintenance and reactive works, in compliance with LSH’s risk management practices.

You will act as the first point of contact for tenant queries and escalations from the Service Desk. The role uses LSH’s CAFM systems to manage portfolio risk, Health & Safety, statutory compliance activities and overall contractor performance.


Key responsibilities

* Relationships – develop and maintain collaborative relationships with property managers, colleagues, contractors, tenants, and occupiers
* Customer Experience – demonstrate customer-centric behaviours to provide the highest quality of service
* Tenant liaison – liaise regularly with all tenants to inform them of actions, work and activities related to the day-to-day running of the building
* Tenancy and building issues changes – refer tenancy issues to the Estate Surveyor/Property Manager
* Service charge – draft service charge budgets reflecting estimated running costs, ensuring correct allocation of costs and enabling direct recovery
* Payments and invoicing – raise work orders and code and authorise payment of invoices
* Lease requirements – inform the responsible Estates Surveyor/Property Manager immediately where tenant activity could breach occupancy lease agreements
* Property inspection – undertake regular property inspections and produce inspection reports
* Reactive works and Helpdesk – ensure tenants are aware of and utilise the Service Desk facility
* CDM Regulations – identify works to be managed in accordance with CDM
* Contracts and contractor management – manage all aspects of contractor day-to-day activities on site, including Health & Safety in common parts
* Health & Safety Risk Assessments – ensure related risk assessments are undertaken
* CAFM – interface with ELogbook systems to ensure correct operation of the CAFM system
* Sustainability management and reporting – update sustainability information for applicable sites under control
* Human Resources – follow LSH HR procedures including absence, sickness, expense claims and performance reviews
* Complaints – respond to and resolve complaints promptly, communicate with all parties, escalate as needed and recommend service improvements


Essential & Desirable requirements

* Previous Managing Agent experience in a similar role is preferred but not essential
* Previous FM experience or background in a related FM discipline
* Working towards Affiliate IWFM or AssocIWFM qualification (to be gained within two years of appointment)
* Some H&S experience and prepared to undertake the IOSH certificate within 6 months of appointment
* Ambition to progress in FM long term
