It’s a not-for-profit organisation with a clear purpose to accelerate gender equality in the media, marketing and advertising industry, with the ambition to achieve 50% female CEOs in the industry Job summary WACL is seeking a highly organised and relationship-focused Project Manager to support the President and oversee the delivery of our partnership and sponsorship projects. The organisation is led almost entirely by volunteers, and so this role is pivotal in ensuring the smooth running of the Club and ensuring our partnership and sponsorship activities are executed to the highest standard and that our partners receive exceptional service and value. Key responsibilities. 1) Support the President (and Exec) in the smooth running of the Club. 2) Support the Partnership Committee Leads in managing our partner relationships Specifics With the President (and Exec) · Make things happen! · Support the President and her Executive Committee in leading the Club, including administration, meeting coordination, agendas, recordings and minutes; event support; managing the shared drive and updates from Members and Committees. · Manage and coordinate other key projects, particularly relating to Partnerships and Events with our partners, and support those Committees to ensure smooth running of their activities · Work closely with the Events Secretary supporting management and delivery of events, such as breakfast, dinners, industry sponsorship events and our annual AGM. This will involve attending some events in the evenings eg to register guests for which we will agree time off in lieu. · Work closely with the Financial Administrator and Company Secretary to ensure she is fully aware of financial implications on projects and direct any external/member financial queries to her. With the Partnership Committee Chairs · Manage partnership and sponsorship projects, ensuring our agreed activities are fulfilled on time and to specification. · Build and maintain strong, professional relationships with clients, sponsors, and internal stakeholders. · Act as the main point of contact for partners, ensuring clear communication and timely updates. · Coordinate internal teams and external suppliers to deliver project components effectively – such as getting partner logos and ensuring they are displayed as agreed across various WACL activities and materials (website, emails, posters etc). · Attend the monthly Partnership Committee meetings to monitor partnership project timelines, budgets, and deliverables, proactively addressing any issues. · Oversee billing and invoicing processes – such as getting purchase order numbers and invoices supplied – working with WACL’s Financial Adminstrator/Company Secretary., ensuring accuracy and timely completion. · Provide regular reporting on Partnership finances, relationship status, partner satisfaction and key activities. Ideal Candidate · Proven experience in managing people and projects, ideally within partnerships, sponsorships, agency or marketing environments. · Strong organisational skills and a ‘can do’ attitude. · Excellent interpersonal and communication skills. · Strong attention to detail and ability to manage multiple projects simultaneously. · Comfortable working independently and collaboratively.
