We are currently seeking applications for a Business Support Officer. This role is central to National Records of Scotland (NRS) and will give the successful candidate an opportunity to gain insight and experience at the heart of our business.

Your role within our Business Management Unit (BMU) will provide support to the Chief Executive as well as members of the wider Executive Management Team. You will support the corporate governance boards and processes. The work is varied and interesting and at the heart of senior decision making in the organisation giving you exposure to the management of a Scottish Government public body and provides opportunities to develop a wide variety of skills.


Responsibilities

* Provide secretariat for the NRS Governance Boards that you will support including managing the meeting arrangements and papers supporting the Chair and delivering all the secretariat requirements including drafting the minutes.
* Proactively monitor and manage CEO and NRS Senior Managers diaries and mailboxes ensuring efficient management of business priorities.
* Ensure all BMU email boxes are actively monitored by prioritising information ensuring that items are appropriately allocated actioned and followed up.
* Ensure deadlines for replies are set and met by identifying and engaging with those to within NRS and wider SG and OGDs to manage the collation of information to support the delivery of high-quality draft correspondence for CEO / Senior Manager.
* As part of the BMU team administer the NRS Complaints FOI and Ministerial correspondence systems for NRS.
* Provide support development and line management an Executive Assistant (A4).

Communication skills and the ability to understand complex information and give clear explanations to customers are important. Remaining calm in difficult situations and maintaining a professional manner.
