Access Administrator is a key position within the practice, being responsible for ensuring that the appointment system is runningsmoothly on a day-to-day basis. Working closely with the Central Services Manager to manage demand and capacity, apply rotas and apply care navigation skills when allocating appointments. A thorough knowledge of practice protocolsand procedures is required as is good communication with all staff teams.
Main duties of the job
Monitoring requests for routine and same dayappointments and processing according to practice protocol
Contacting patients to collect furtherinformation on their requests
Booking follow up appointments based on clinicalindications
Adding and amending clinical rotas as needed
Cancelling clinics/contacting patients toreschedule
Monitoring appointment availability to ensurethere is sufficient access for patient daily, weekly, and monthly.
Assisting with developing timetables for newstaff, trainees, and students
Assisting the reception team in ensuringpatients can access the surgery (i.e. providing telephone backup or contactingpatients as necessary)
Proactively contacting patients to encourageclinical engagement for various initiatives and routine care
Other clinical administration duties as required
Supporting other areas of the practice includingsome reception work on a rota basis
