Property and Record Archive Officer - Full Time
Location: Nuneaton
Salary: £26,106.00 – £28,653.00 per year
Contract: Permanent, Full time (will consider part time)
Hours: Monday to Friday, 07:00 – 15:00
Job Purpose
To ensure the efficient administration, safe custody and prompt disposal of all seized and found property, archive files and records in accordance with Warwickshire Police Policy and Procedures, Financial Regulations, Accounting Instructions and MOPI guidelines.
Responsibilities
* Collect, transport and receive items of seized and found property or files, ensuring they are packaged, recorded and stored correctly (e.g., cash and valuables in the safe; firearms made safe and ammunition in gun cabinets). Ensure hazardous items are stored and disposed of appropriately in line with Health and Safety guidance and liaise with relevant departments as required.
* Maintain and regularly review records of seized and found property and archive records (via ARMs database) within the central store and temporary stores; ensure service standards and compliance with MOPI, driving standards across the organisation.
* Prepare and arrange items for transportation to other force locations using the PPL Help Desk booking system; update the Property Management System and complete relevant paperwork.
* Ensure prompt return or disposal of property items and records to owners/finders/other agencies; reconcile cash received from disposals; ensure disposal methods comply with legislation, force policy and MOPI standards.
* Use machinery safely to shred, cut and grind items for destruction and arrange disposal of non-recyclable residue.
* Preserve the integrity of property, records and stores in line with legislative requirements; maintain appropriate controls for handling cash, valuables, drugs and weapons.
* Provide guidance to Officers and Staff on Seized and Found Property and archive records, including packaging and training as needed (e.g., drug seizures and protocol).

* Monitor safe contents and arrange additional insurance where required; manage cash banking paperwork and authority for cash retained beyond 7 days.
* Operate the Property Management System and Seized and Found property procedures; attend court as a Property Officer witness and supply statements when required.
* Ensure data and information related to Seized and Found Property and Record Archive are managed with confidentiality and integrity, with contingency arrangements for service delivery.
* Undertake other duties commensurate with the role, including covering colleagues and training new Police Officers and Property Officers.

Person Specification
* Knowledge: 5 A-C GCSEs (including English and Maths) or equivalent
* Experience: Previous administrative experience in a busy office environment with accurate record-keeping
* Key Skills: Strong interpersonal skills; ability to work under pressure; tact and sensitivity; initiative; IT proficiency (Microsoft Office or equivalent); ability to coordinate multiple tasks and manage large volumes of work
