Job Overview
We are looking for flexible and hardworking individuals to join our team of valuable and conscientious administration staff in a very busy and demanding Emergency Department. The role involves working to support a clinical team, providing high standard care to patients and their relatives.
Responsibilities
* Data entry of patients’ information.
* Clinic booking and arrangement of appointments.
* Scanning patient information and admissions.
* Supporting clinical staff to deliver high quality care.
* Working rotational shift patterns over 7 days.
* Providing polite, helpful and courteous reception to patients, visitors and colleagues.
* Accurately registering Emergency Department patients’ demographics using the Trust Medway Clinical Systems.
* Rapid registration of ambulance cases as directed by nursing staff.
* Identifying overseas visitors and ensuring documentation is completed.
* Facilitating clinics, including booking and generating GP attendance letters.
* Producing and sending health records and supplements via the Patient Administration System.
* Managing patient out‑of‑hour prescriptions.
* Arranging ambulance transport and taxis for patients and relatives.
* Preparing patient health records for electronic scanning.
* Scanning all ED documentation into the Electronic Document Management System.
* Producing barcode sheets for health records.
* Cleaning, testing and calibrating scanners daily.
* Scanning archived A&E documents according to defined processes.
* Providing cross‑cover in all areas of the Emergency Department, including the Assessment Unit, Paediatric Area and Stretcher Triage.
* Handling enquiries via fax, telephone and email with a responsive service.
* Dealing with complaints on a first‑line basis or referring to the appropriate nurse or department.
* Performing clerical duties to support Trust patient activity and departmental targets.
Training Responsibilities
* Attend all IT training and stay informed of updates.
* Attend all Trust mandatory and departmental non‑clinical training.
* Ensure annual Adult and Children’s safeguarding Level 2 training is up to date.
* Maintain knowledge of Records Management, Information Governance, Caldicott, confidentiality and data protection act.
* Attend relevant customer care workshops and personal resilience courses.
Person Specification
Qualifications
* Educated to GCSE level or equivalent qualification.
Knowledge
* Experience in an administrative role.
* Experience dealing with the public face‑to‑face.
* Experience working in a busy clinical environment.
* Previous NHS clerical experience within acute settings.
Skills
* Good team worker supporting colleagues.
* Initiative and self‑motivation; ability to work well under pressure and remain calm.
* Good organisational skills.
* Knowledge of data quality, data protection and information governance.
