Equans is looking for a FM Co-ordinator to join our team working on our Moderna FM contract on the Harwell campus in Chilton on a permanent basis. This is a full-time role working 40 hours per week from 08:00 to 17:00, Monday to Friday with a one hour unpaid lunch break. On offer is a competitive salary and benefits package.
As FM co-ordinator, you will be part of the Admin Team. You will work closely with the Senior Contract Administrator and supporting the Contract Managers & Supervisor to ensure all FM activities are co-ordinated and delivered in alignment with client expectations works (Service delivery, reactive & quoted) are processed and dealt with in a timely manner in accordance with the contractual requirements.
Key role in ensuring all FM deliverables are met in relation to all FM services. Ensure all Quoted/follow on works are fully logged and prepared ahead of attendance at site, together with the uploading of documentation to various customer systems and Equans Customer Portal.
What will you deliver?
1. Process PPM, reactive & quoted works (WIP) for invoicing in a timely manner
2. Liaise with supply chain in relation to all service functions, driving performance and reporting results and deviations. Chase appropriate parties for supporting information and file accordingly
3. Process monthly report matrix and presentations Support manager to review and prepare PPM/ Reactive data for inclusion within monthly report.
4. Raising purchase orders in Coupa for sub-contractors and suppliers.
5. Liaise with Senior Contracts Administrator regarding client instructions / feedback etc.
6. Support Contract Managers & Supervisors to effectively investigate and resolve invoicing/cost/service queries escalating issues where necessary to Management team.
7. Support the updating of the CAFM system and other systems for the customer, ensuring compliance.
8. Support the collation of documentation in relation to various audits, reports and inspections.
9. Uploading of statutory documentation to Compliance tracker, client portals and Equans customer portals.

Who are we looking for?
21. Previous experience in a FM setting essential
22. Good Knowledge of Microsoft applications including Excel and Powerpoint essential
23. Understanding of performance indicators and service level agreements
24. Prior experience of CAFM systems advantageous but not essential (SAP, Service Channel, Coupa & Planon)
25. Good administrative skills
26. An understanding of Purchase to Pay process desirable
27. Ability to understand data, spot trends and prepare reports.
28. Ability to build strong relationships with customers and manage their expectations
