Proposed Grade- Senior Manager
Location- Stockley Park
This role will be pivotal as we evolve our facilities management function into an elevated regional business partnership, fostering holistic collaboration across all aspects of Corporate Operations. You will transform how we operate and be a key enabler for future success by navigating and solving complex issues, delivering significant impact and value for our stakeholders in line with Gilead’s business imperatives. A key component of the role is ownership of the technical management of the portfolio, working across multiple systems, projects, and supplier partners to identify the right solutions, resolve complex challenges, and ensure robust, scalable outcomes.
Based in our International HQ in Stockley Park and reporting into the Senior Director of Site Operations, you will work as part of a fast‑paced, dynamic team delivering site operations support to multiple sites across Europe. This role requires you to establish close relationships with senior business leaders and other key stakeholders, acting as the single point of contact for all Corporate Operations matters in the region while providing technical leadership across the portfolio.
Responsibilities include;
Business Partnership
1. Partner closely with site leadership teams to understand business priorities and ensure Corporate Operations services effectively support business strategy, growth, and day‑to‑day operations
2. Coordinate with regional and global Corporate Operations teams to deliver a comprehensive range of services across sites, including Security, Environmental Health & Safety, Workplace Design, Engineering, Employee Experience, and Real Estate & Leasing
3. Lead the development and ongoing management of rolling three‑year site plans, incorporating headcount growth, space utilisation and demand forecasts, lease events, and evolving business requirements
4. Act as the primary point of contact for cross‑functional initiatives at site level, ensuring strong alignment between site operations, corporate standards, and enterprise objectives
5. Serve as the Site Operations lead for crisis management and business continuity planning, working in partnership with risk management, corporate teams, and local stakeholders to ensure readiness, resilience, and effective response
Site Operations
6. Act as the primary Corporate Operations business partner to local leadership, guiding stakeholders through the Corporate Operations roadmap and coordinating with functions including Real Estate, Environmental Health & Safety (EH&S), and Corporate Security to plan activities and key decision points
7. Partner with outsourced facilities service providers to ensure day‑to‑day operations are delivered in line with contractual requirements and service expectations
8. Strengthen contract governance and performance management by establishing clear KPIs, monitoring service delivery, and driving continuous improvement with outsourced partners
9. Ensure full compliance with local laws and regulations, including property, tax, health and safety, and mandatory in‑country requirements, always maintaining an audit‑ready operating environment
10. Manage regional operating budgets effectively, working closely with business and finance partners to deliver accurate forecasting, cost control, and transparent financial reporting
11. Provide leadership oversight for environmental, health & safety, security, and key vendor relationships across the region
12. Be accountable for the delivery of all EH&S programmes and initiatives, working in close partnership with the central EH&S team to meet regulatory and corporate standards
13. Drive sustainability initiatives across sites, with a focus on energy efficiency, waste reduction, and water conservation
14. Lead risk assessments and implement mitigation strategies across all site operations to ensure safety, resilience, and operational continuity
Technical Leadership
15. Provide regional technical and engineering leadership for facilities projects, including relocations and refurbishments, ensuring compliant, maintainable and cost‑effective solutions that deliver a consistent, high‑quality user experience
16. Act as the regional technical authority for Facilities Management, providing assurance, challenge, escalation and expert guidance across sites, service partners and stakeholders
17. Serve as the primary technical interface between Facilities, Systems/IT, project teams, landlords and suppliers to resolve complex, portfolio‑wide engineering and operational issues
18. Govern the end‑to‑end handover of capital projects from design and commissioning through to operational readiness, ensuring assets are fully documented, optimised and embedded into site operations and service contracts
19. Provide technical oversight and challenge throughout project delivery to manage risk, protect organisational interests and maintain quality, compliance and operational standards
20. Lead asset management and lifecycle planning, ensuring accurate asset data, clear landlord versus tenant accountability, and alignment with renewal strategies, budgeting and long‑term operational resilience
21. Provide technical governance of life‑safety and critical compliance systems, including fire strategy and Fire Risk Assessments, ensuring risks and actions are prioritised, tracked and effectively closed
22. Support and direct onsite FM service partners, including reviewing maintenance strategies, compliance evidence and performance against technical standards and playbooks
23. Act as the escalation point and subject‑matter expert for significant FM incidents and system failures, including critical equipment, water hygiene and life‑safety issues
24. Contribute to the development, implementation and continuous improvement of FM technical standards, policies and operational playbooks across the region
Employee Experience and Insights
25. Lead the implementation of site‑wide user experience strategies in partnership with key stakeholders, enhancing the on‑site experience for employees and visitors across all locations
26. Collaborate closely with senior leadership to design and deliver an optimal site experience, balancing user needs, business objectives, and industry best practices
27. Proactively engage with employees and visitors to gather insights and feedback, using this input to continuously improve service quality and workplace experience
28. Identify, propose, and drive new ideas and opportunities for programme enhancement, drawing on employee feedback, personal observation, and external benchmarking
29. Analyse data, trends, and feedback to identify factors impacting the user experience, and work cross‑functionally to address challenges related to areas such as talent attraction, retention, and overall employee experience
30. Stay current with industry trends and best practices in workplace and user experience, leveraging external networks, conferences, and professional communities to evolve and strengthen Gilead’s approach
31. Act as a visible champion for diversity, equity, and inclusion across sites, ensuring inclusive and welcoming environments for all employees and visitors
32. Champion continuous improvement initiatives to enhance operational efficiency, service quality, and cost effectiveness

Desirable skills and experience
42. Experience delivering workplace transformation initiatives, including sustainability and user experience programmes, within complex or multi‑site environments
43. Knowledge of in‑country sustainability and environmental requirements across multiple geographies, with an understanding of their application within mandatory ESG reporting framework
