Base pay range
Step into an exciting role at one of Europe’s leading arts and cultural organisations, working as an Executive Assistant supporting Senior Directors in one of London’s most vibrant areas. This is a temporary role for a maximum of six weeks, starting from 30th June.
The Role
As Executive Assistant to the Directors of Development and Estates, you’ll play a pivotal role in ensuring the smooth and efficient running of busy executive schedules. Working within a collaborative and respected Executive Office team, you’ll provide essential support by juggling multiple priorities with professionalism, warmth and attention to detail.
Key responsibilities include:
* Full administrative support for the Directors, including diary management, meeting scheduling, preparing briefings and job-packs.
* Understanding Directors’ priorities so you can proactively manage workloads and conflicting demands.
* Attending meetings to take minutes and track actions.
* Organising travel arrangements, itineraries, agendas and processing expense claims.
* Preparing reports, presentations, and briefing papers for the Board and Committees.
* Coordinating event logistics, RSVPs, supplier liaison, briefing notes and on-the-day support.
* Leading ad hoc projects, including research and meeting coordination.
* Collaborating with the wider EA team to ensure cover for Directors during absences.
* Managing internal and external communications on behalf of the Directors.
* Handling financial administration such as purchase orders, invoices and credit card transactions.
* Providing a warm welcome for visitors and arranging hospitality.
* Acting as Fire Marshall (training provided).
* Supporting the wider organisational needs as required.
You are an experienced, proactive, and highly organised Executive Assistant who thrives in a fast-paced environment and loves keeping things running seamlessly behind the scenes. We’re looking for someone who brings:
* Proven ability to organise and maintain efficient administrative processes.
* Confidence to liaise with senior leaders, build strong relationships, and handle sensitive matters with discretion.
* Excellent multitasking, prioritisation and problem-solving skills, even when juggling conflicting demands.
* Outstanding verbal and written communication, with clear and concise articulation.
* Professionalism, tact and diplomacy when dealing with colleagues and external stakeholders.
* Initiative, flexibility, and motivation to adapt to new situations and challenges.
* Strong attention to detail and a methodical approach.
* A collaborative team spirit and commitment to fostering inclusive, welcoming workspaces.
