Project Coordinator

The Support Services Co-Ordinator is responsible for ensuring smooth site facilities operations for the HPC project teams. The role requires a numerate, logical individual who works well under pressure and can prioritize a heavy workload.
Main Responsibilities
1. Act as the primary contact for external suppliers and facilities providers to manage purchasing, ordering, matching purchase orders, goods receipt, invoices, and processing in line with Bilfinger procedures.
2. Ensure formal induction of guests and clients to the K11 building in accordance with security, H&S, and site procedures.
3. Coordinate weekly/monthly timesheet entries by the team in the Bilfinger system, ensuring accuracy and timeliness for payroll processing.
4. Produce and distribute weekly Time & Attendance reports, and ensure new hires are trained and have access codes.
5. Manage office supplies and general services, ensuring availability and replenishment as needed.
6. Oversee site facilities, addressing H&S issues, damages, repairs, and environmental concerns, liaising with management and clients for resolution.
7. Collaborate proactively with project, commercial, and support teams on ongoing activities and ad hoc needs.
8. Organize meetings, book rooms, arrange refreshments, and handle related activities.
9. Maintain thorough records for site agreements, payroll, and audit purposes.
10. Build relationships with stakeholders across legal entities, project teams, and clients to ensure business continuity.
11. Perform other tasks as assigned by HR/IR Lead.
Experience & Qualifications
* Proficient in Microsoft Office Suite: Excel, Word, Outlook, Teams.
* Respect for confidentiality and sensitive data, including payroll information.
* Strong administrative skills with attention to detail and problem-solving abilities.
* Excellent interpersonal, verbal, and written communication skills.
* Commitment to delivering excellent customer service.
* Experience with Concur, SharePoint, SAP, and CEMAR.
* Self-motivated, resilient, and dedicated to completing tasks.
* Ability to work effectively with diverse stakeholders, including international colleagues.
* Previous experience in a similar role.
* Experience managing office facilities and building services.
