Job overview

A new and exciting opportunity has arisen within Pelvic Health Physiotherapy for a Band 4 clinic co-ordinator to join our team on a part-time basis. The Pelvic Health team are a small but busy team and have had recent investment through the Local Maternity Network Service to develop its Perinatal Pelvic Health Service.

We are looking for an enthusiastic, motivated, and flexible individual to work alongside our clinicians to support planning and organisation of the team, assist capacity and demand work across the Specialty and help to embed the implementation of the Perinatal Pelvic health Service. Within the role, you will be expected to work closely with other departments and Specialities to ensure that administrative processes run effectively and relevant patient pathways are followed.

It is essential that anyone applying for this role has administrative experience and is highly organised to support the team in clinic planning across the week.

Main duties of the job

1. The post holder will take a pro-active approach to support planning and organisation of the Pelvic Health Physiotherapy teams clinics and clinic templates, coordinating telephone, face-to-face and group activity to ensure that clinics are used efficiently and effectively.
2. Support with forecasting of clinics and groups to avoid future capacity issues and work with Directorate managers to support capacity and demand work and service improvement techniques.
3. Help to provide and establish effective and timely reporting mechanisms for planning and performance activity.
4. Attend dedicated meetings to monitor service activity, waiting times and appointment availability.
5. Work closely with other Directorates/Teams where appropriate to ensure that the underlying administrative processes are in place to support referrals and appointment allocation.
6. The post holder will need to show experience of using Microsoft office packages and be able to demonstrate experience of patient administration systems to process outpatient appointments, understanding the Referral to Treatment policy and managing outpatient lists and targets.
7. To create and amend standard letter templates ensuring standard operating procedures are followed.
8. Demonstrate experience of working to a high standard in a customer service environment and show excellent communication skills.

Experience and Knowledge

Essential criteria

17. Experience of working with Microsoft packages
18. Experience of using patient administration systems
19. Experience of managing outpatient lists and targets
20. Experience of working to a high standard in a customer service environment
21. Experience of processing Outpatient appointments and understanding of Referral to Treatment Policy
22. Working knowledge of the eRS/Choose and Book system

Desirable criteria

23. At least 2 years’ experience working in operational services in the NHS, to include: Managing capacity & demand, Demonstrable experience of outpatient management, Managing activity
24. Involvement in service redesign projects or programmes with clear and demonstrable benefits to patients and organisations
25. Ability to analyse and resolve problems relating to capacity & demand and waiting list issues within designated specialties

Qualifications and Treatment

Essential criteria

26. Maths & English GCSE at Grade C or above, or equivalent
27. Good written and spoken English
28. NVQ Level 4 or equivalent experience

Skills and Abilities

Essential criteria

29. I have excellent verbal and written communication skills
30. I am able to communicate with staff at all levels, including Consultant medical staff
31. I am able to work in a fast paced and busy environment
32. I am able to work as part of a team
33. I am able to work under pressure to strict deadlines and requirements
