Job summary Are you a resilient and driven administrator with a strong work ethic and proven leadership experience? We're looking for a confident Administration Team Lead to join our Acute and Crisis Teams at Parklands Hospital on a part-time basis. Working 22.5 hours per week, you'll play a key role in delivering a high-quality administrative service. You'll support the Head of Nursing & Professions and Associate Director of Acute Care, manage a team of ward clerks, and ensure smooth day-to-day operations including appraisals, supervision, diary management, and general administrative support. This role demands excellent organisational skills, the ability to prioritise under pressure, and a proactive approach to problem-solving. Experience in line management and minute taking is essential, along with strong IT skills and a professional, confidential approach to communication. You'll regularly attend and minute operational meetings, and support with other meeting administration as required. You'll also help maintain accurate non-clinical policies and procedures. NHS experience and familiarity with systems like RiO and Insights are desirable. Main duties of the job Administrative Support to Senior Management Provide comprehensive PA and administrative support to the Acute and Crisis Senior Management Team. Manage diaries, coordinate meetings, and handle correspondence as required. Meeting Coordination and Documentation Organise and attend key team meetings. Accurately record minutes and maintain action logs. Ensure timely distribution of meeting documentation to relevant stakeholders. Line Management of Ward Clerks Provide direct line management and supervision to the three ward clerks covering the acute and crisis wards. Conduct regular 1:1s, appraisals, and ensure access to appropriate training and development opportunities. Monitor performance and provide support to ensure high standards of service delivery. Operational Oversight Ensure ward clerks are effectively deployed and supported in their roles. Act as a point of escalation for operational issues affecting administrative functions on the wards. Service Continuity and Risk Mitigation Support workforce wellbeing by helping to prevent burnout among existing staff due to excessive workload. Mitigate the risk of unplanned absences and potential resignations by ensuring appropriate support structures are in place. Communication and Liaison Serve as a key liaison between the Senior Management Team and ward-based administrative staff. Facilitate effective communication across teams to support service delivery.
