An exciting opportunity has arisen to join the Offender Personality Disorder (OPD) team, based in Maidstone. The role of Project Support Officer is a senior administrative position requiring strong organisational and IT skills. Responsibilities include managing quarterly performance data, producing reports, developing an annual training plan, taking meeting minutes, and overseeing procurement and finance processes such as issuing travel warrants and petty cash. The postholder will support psychologists and probation practitioners working within the OPD Pathway and the Intensive Intervention and Risk Management Service (IIRMS), which assists individuals leaving prison or forensic mental health care to transition successfully to community living. Training will be provided to the successful applicant.
Overview of the job
This role involves coordination and senior administrative support within the Divisional office and local offices of the Function/Cluster. The jobholder will provide corporate support for office-based activities supporting the Divisional and operational teams, acting as an interface between the Hub Manager, Business Manager, colleagues, and partners on various issues. They will report to the Hub Manager in Divisional offices and the Business Manager in Function or Cluster offices, with line management responsibilities for administrative staff.
Summary
The purpose of this role is to ensure efficient and effective business support and operational administrative services are delivered to the Division, Function, or Cluster. The jobholder will assist the Business Manager in ensuring compliance with health, safety, and fire regulations, acting as the Single Point of Contact / Estates Liaison Officer for their buildings. They must demonstrate a commitment to equality and inclusion, adhere to policies regarding sensitive/confidential information, and support the effective functioning of the team.
Responsibilities, Activities & Duties
Management Support
- Develop and implement business administration systems, databases, and recording systems to support probation delivery.
- Prepare and collate documentation for divisional, functional, or cluster activities.
- Maintain registers such as Serious Further Offences, Freedom of Information, Accidents, Complaints, input data, monitor probation processes, and ensure timely completion.
- Manage collection and distribution of monies to/from Imprest, maintain related records.
- Act as Vetting Contact Point.
- Monitor travel warrants, bus passes, cheque requests, and assist with purchase orders within procurement arrangements.
- Represent the Business Manager at meetings and events as required.
Health, Safety & Fire
- Report building issues and maintain progress towards resolution.
- Coordinate health and safety risk assessments, fire drills, and ergonomic assessments, reporting issues and maintaining registers.
- Act as Cardinus Assessor, First Aider, and Fire Warden, ensuring actions are taken for incidents and assessments.
Staff Management and Development
- Provide leadership and management to the team.
- Manage staff development, performance, attendance, health and safety, and diversity issues fairly and objectively.
- Contribute to training and development, supporting recruitment activities.
Communication and Self-Development
- Write reports supporting division operations.
- Participate in meetings, using appropriate communication skills.
- Manage personal resources and professional development.
