Job Title: Office Administrator

Location: Kidlington, Oxfordshire

Electrogenic is a world-leading EV powertrain OEM, renowned for our technology and our elegant re-powering of classic cars. We develop cutting-edge EV technology for our global partner-installers, for vehicle manufacturers, and the defence sector. In the UK, we also offer bespoke conversion services. The business is continuing to expand, creating opportunities across the business.

Developing EV powertrain technology, manufacturing "drop-in" EV powertrain kits and carrying out bespoke car conversions requires a range of capabilities, experience and specialist roles. The key is teamwork and we are looking for focussed people with a positive outlook who can carry out their unique roles within the company while supporting, and being supported by, the wider team. Electrogenic is a growing business with plenty of scope for career progression.

Your Role:

The Office Administrator is pivotal to our growth strategy and is an on-site position. This versatile role demands excellent organisational skills, a knack for problem-solving, and a proactive approach to managing office operations, facilities, and providing administrative support to our senior leadership team.

Key Responsibilities:

Office Management:

● Oversee daily office operations, including visitor management, workspace organization, supplies, equipment, and services.

● Serve as the welcoming face of Electrogenic, ensuring a positive experience for all visitors.

● Organize team events and meetings, travel and other logistics

● Provide administrative support to the senior leadership team, including calendar management, meeting scheduling, and coordinating complex travel arrangements.

● Prepare and distribute reports, meeting minutes, and presentations for the senior leadership team as needed.

● Assist with onboarding new employees.

● Distribute team communications through appropriate channels.

● Manage company vehicles (tax, MOTs, log books, etc.)

Facilities Management:

● Build and maintain relationships with vendors and contractors for facility maintenance, repairs, cleaning, and renovations.

● Coordinate facility-related projects.

● Administer emergency preparedness procedures, including evacuation plans, first aid provisions, and safety drills.

● Manage on-site security processes, including key and alarm systems.

● Carry out the administration for the company's compliance with health and safety regulations and standards.

● Conduct regular risk assessments and implement measures to enhance workplace safety and employee well-being.

Requirements:

● Proven experience in administrative and facilities management.

● Ability to prioritise and meet deadlines effectively.

● Excellent written and verbal communication skills.

● High attention to detail.

● Ability to continuously improve processes.

● Comfortable working in a fast-paced environment.

● Proficiency in MS Office Suite (Excel, Word, Teams, etc.).

Desirable Experience:

● Working in a start- up business and/or automotive

● Familiarity with business tools such as Asana, Jira, etc.

Job Type: Full-time

Pay: From £28,000.00 per year
