Position: Staff Officer (SO)
Pay Rate: £19.59 per hour
Hours: Full time, 37 hours per week, 9am – 5pm Mon to Fri
Duration: 4/10/26 with possibility of extension
Start Date: 27th of April of ASAP

Job Duties:
The post covers the operational, administrative, and system administration of the current legal case management within Departmental Solicitors Office. This role ensures the efficient handling of cases, compliance with regulatory requirements, and the delivery of high-quality service to clients.
The post holder will report to the Head of Corporate Services (Grade 7) and will have line manager responsibilities for 2 x EO2. They will work closely with their G7, Senior Management Team, IT colleagues and the Contract provider.
iDSO (legal case management system)
1. Case Management Configuration: Maintain and update current system configuration to ensure workflows etc are suitable for legal staff to manage their cases.
2. Process Improvement: Identify and implement improvements in case management workflows to enhance efficiency and productivity.
3. Compliance: Ensure adherence to data protection and confidentiality standards.
4. Client Liaison: Act as a point of contact for clients regarding billing queries and concerns promptly.
5. Testing of system releases and fixes.
6. Assisting with product specification for a new legal case management system
7. Data cleansing of the existing system etc in preparation for offboarding.
8. Maintaining Business Continuity during the system migration / offboarding transition
Billing
9. Requesting Purchase Orders for disbursement billing and subsequent follow-up
10. Dealing with department billing queries
MI reporting
11. Prepare and present regular reports on case status, workload, and performance metrics for senior management.
Training
12. Lead, train, and support all case management staff, building and maintaining a collaborative and professional working environment.
Other duties
13. Staff management of 2 x EOII who provide iDSO support / management of DSO intranet and Premises support including management of training requests
14. Assist with draft responses to AQWs, DPA/FOI requests etc. Ensure all documents are saved in Content Manager in a timely manner.
15. Provide support for colleagues within Corporate Services Division.
Essential Criteria:
16. 5 GCSE’s A*-C including Maths and English (must be able to show evidence)
17. A degree (must be able to show evidence)
18. Proficiency in Microsoft Office Suite.
19. Strong organisational and leadership skills.
20. Excellent communication and interpersonal abilities.
21. Attention to detail and analytical thinking.
22. Knowledge of relevant legal and regulatory framework
23. Ability to handle confidential information with discretion
Desired Experience:
24. Experience in legal case management or practice management
