We are seeking an experienced receptionist to join our team at our newly opened flagship clinic.
You will work alongside an expanding clinical team, supporting clients locally, handling administrative tasks, and managing patient bookings.
The role requires being the first point of contact, so professionalism, friendliness, a good telephone manner, and excellent customer service skills are essential.
KEY RESPONSIBILITIES
1. Meet and greet clients warmly and professionally, guiding them to the waiting area or appropriate personnel.
2. Maintain high standards of cleanliness and manage the upkeep of the reception, office, and consultation rooms.
3. Handle opening and closing procedures of the clinic.
4. Answer, screen, and direct calls, taking accurate messages.
5. Manage enquiries from current and prospective clients diligently.
6. Process incoming patient referrals efficiently from various sources.
7. Coordinate patient appointments across multiple locations and support clinical staff with diary management and administrative duties.
8. Develop comprehensive service knowledge and provide information about services to clients.
9. Keep client records, billing details, and appointments accurate and up-to-date using practice management software.
10. Support Regional Clinical Teams with their caseloads to ensure a smooth client journey.
11. Assist Operations teams with daily business operations, liaising with suppliers and outsourced departments as needed.
12. Undertake fire warden training to ensure clinic safety and compliance.
REQUIRED EXPERIENCE/QUALIFICATIONS
1. Exceptional customer service skills with a proven track record of exceeding expectations.
2. Polite and confident telephone manner.
3. Positive, 'can do' attitude.
4. Proficiency in Excel, Word, Outlook, and experience with practice management software or client databases.
5. Excellent verbal and written communication skills.
6. Ability to work independently and on initiative without constant supervision.
7. Capable of working within a team and independently, including out-of-hours when required.
8. Calmness under pressure and professionalism at all times.
9. Experience or knowledge of the healthcare or medical industry is desirable.
