Bute Energy has built up a market-leading pipeline of Energy Park projects in Wales, which will combine the latest technology for onshore wind and solar generation to provide projects that will be delivering the biggest business investment in rural Wales in a generation.

The Role
SALARY: Starting from £38,000 per annum (Dependent on skills and experience)
REPORTS TO: Director of Onshore Projects
LOCATION: Edinburgh
The Executive Assistant will provide a full range of administrative support to the Director in their business responsibilities and will also assist with his personal administration. This is an exciting opportunity to join a high growth business and play a key role in the continued success of an expanding and critical part of the organisation.
Main Responsibilities
* Extensive calendar and diary management.
* Creation of presentations, reports and communication materials using the Microsoft Office suite.
* Supporting in the roll out of the business' objectives.
* Management of staff expenses, and other office related financial aspects such as invoice approvals.
* Issue various contracts/documents for digital signing via DocuSign.
* Managing several internal mailboxes.
* Organising Team Social Events
* Arranging travel, including flights, trains, hotels, restaurants and taxis.
* Minute taking at team meetings and governance committees/boards.
* Creation of PowerPoint materials for Committee meetings.
* Support the team (in particular the Director) in preparation and collation of required papers to support Board Meetings, Committees Meetings etc.
* To provide administrative assistance to the wider team where necessary.
Key Accountabilities
* Ensuring calendar and diary are up to date.
* Ensuring travel and accommodation cost bookings provide best value for the business.
* Management and submission of expenses.
* Ensuring meeting agendas and briefing packs are prepared in advance
* Minute Taking at key committee meetings
What we look for in return
Knowledge & Skills
* Excellent Organisational skills and attention to detail
* Familiarity with meeting protocols, including agenda setting, minute taking and follow up actions
* Knowledge of governance structures ( e.g. boards, committees) and how to support them administratively
* Familiarity with DocuSign and managing prompt collection of digital signatures
* Ability to prioritise conflicting demands and pre-empt requirements
* Excellent written communication for drafting emails, reports, and minutes
* Confident verbal communication when liaising with internal and external stakeholders
* Ability to communicate professionally on behalf of senior leaders
* Strong relationship-building skills across all levels of the organisation
* Discretion and confidentiality when handling sensitive information
* Proactive and collaborative mindset to support the wider team
Experience & Qualifications
* Proven experience in managing calendars, coordinating meetings, and organizing schedules.
* Proficient in Microsoft programs:
* PowerPoint: for creating professional presentations
* Word: for formatting reports, agendas, and formal documents
* Excel: for managing expenses, tracking budgets, or compiling data
* Outlook: for managing multiple mailboxes and scheduling
* Proven experience in a PA/EA role supporting Directors
