The role involves providing high-level executive support and comprehensive diary management to the Grade 6 leaders within the Finance & Assurance Services Directorate. This includes coordinating schedules, managing appointments and meetings, and ensuring the efficient operation of day-to-day administrative activities to support the Directorate's strategic objectives.
Responsibilities include but are not limited to:
* Manage, control and prioritise the Grade 6s mail, taking decisions on routing of correspondence and monitoring progress to ensure that deadlines are met.
* Co-ordinate activities & reports across the Directorate to ensure that the Grade 6s are appropriately briefed on key topics and that their priority tasks and objectives are being progressed appropriately by the relevant area.
* To act as a point of contact for the Grade 6s with internal and external stakeholders, ensuring that they are dealt with appropriately.
* Effective and efficient management of Grade 6s diaries, enabling appropriate spread of time between planning, delivery and staff engagement
* Arrange for all necessary briefing notes and documentation to be available to the Grade 6s prior to meetings.
