Position Overview

You are an experienced administrator with drive and enthusiasm, able to deal effectively with enquiries, demonstrate excellent communication skills and customer care, and possess advanced keyboard skills to produce accurate and timely reports.

We are seeking an enthusiastic, motivated administrator who demonstrates good interpersonal skills and is willing to work flexibly to support the clinical team. The primary purpose of this role is to provide administrative support to an integrated discharge team (IDT) to facilitate the safe and timely transfer of patients from the acute hospital to the most appropriate setting.


Key Responsibilities

* Coordinate administrative support to the IDT, working collaboratively to achieve shared goals.
* Provide support to clinical discharge practitioners and community partners, facilitating the safe and timely transfer of patient care.
* Ensure patient‑centred care, delivering quality and value.
* Manage daily NCTR summaries, MCH executive reporting, and coordinate bed allocation, including attendance at bed meetings when necessary.
* Handle complex, sensitive or confidential enquiries from patients, families, staff and external partners, negotiating effectively and escalating information when necessary.
* Communicate with Integrated Care Boards, local council authorities, acute Trusts and community rehab centres.
* Maintain community bed capacity information via Shrewd, manage stock and office supplies, and conduct asset register audits.
* Supervise and train less experienced staff, manage payroll and absence leave, and maintain statutory and mandatory training records.
* Prepare and maintain databases, spreadsheets and formal minutes; manage information resources electronically and in paper form.
* Contribute to policy and service development, including updates of procedures, suggestions for improvement and strategic initiatives.
* Manage financial and physical resources, such as stock, orders, procurement guidance and reporting.
* Support research and development activities, including surveys and audits when requested.
* Plan and organise workload using initiative, escalating to management as required, and collaborate with other agencies and organisations.
* Adhere to working conditions, maintaining physical, mental and emotional effort within defined parameters.


Key Skills & Qualifications

* Diploma or experience in a full range of office/secretarial/administrative procedures.
* NVQ3 (or equivalent) in business administration/customer care, NVQ4 desirable.
* RSA Stage 3 (or equivalent) essential.
* ECDL Advanced or equivalent knowledge of IT applications/systems.
* Experience with MCH, Medway NHS Foundation Trust (MFT) and social services systems (RIO, PAS, EDN, PTL, EPR/Sunrise, Mosaic, Shrewd).
* Efficient with Microsoft Office packages (Word, Excel, Outlook, PowerPoint).
* Advanced keyboard skills and ability to multi‑task in a pressured environment.
* Strong communication, analytical, judgement, planning and organisational skills.
* Ability to maintain confidentiality and handle sensitive information.
* Commitment to continuous personal development and learning.

* Informal visits can be arranged on request.
