This is a part time role, 24 -32 hours per week with a FTE salary of £26,000 - £28,500

Charity Context

We believe that everybody should have the opportunity to lead happy, healthy lives. YMCA Fairthorne Group (YMCA) is a community-based charity that brings people of all backgrounds and abilities together in YMCA places to identify and deliver effective programmes that meet their needs.

We work across Hampshire, Isle of Wight, Portsmouth, and Southampton, providing programmes to over 40,000 people every year. Programmes include Early Years, Daycamps, community activities, the annual national Young Carers Festival, and supportive housing for young people and families experiencing homelessness.

Job Purpose

The IT & Systems Administrator will support the charity’s day-to-day IT operations, ensuring staff have the tools, equipment, and systems they need to work effectively and securely. The role involves coordinating with external IT providers, maintaining accurate records of systems and equipment, supporting cyber security compliance, and overseeing the practical aspects of IT administration.

Duties and Responsibilities

► Act as the main point of contact for the external IT support provider, logging and following up on issues.

► Schedule and coordinate monthly on-site IT support visits, ensuring time is used effectively.

► Provide initial troubleshooting or escalation for common IT issues.

► Liaise with service providers, including telephone (mobiles and landlines) and photocopier suppliers.

► Administer the telephone system — managing user accounts, tidying up unused lines, and maintaining up-to-date records.

► Monitor and maintain supplier agreements, noting key renewal or review dates.

► Set up IT access, laptops, mobiles, and printer codes for new starters.

► Collect and reset equipment for staff leaving the organisation.

► Keep an organised record of all IT equipment, including a plan for regular replacement.

► Recycle or responsibly dispose of redundant devices.

► Help review and rationalise software licences and system access.

► Produce simple reports on IT training completion and phishing awareness.

► Promote good data and cyber security practices across the charity.

► At all times adhere to YMCA’s policies and procedures.

► Act in the interests of your own safety and the safety of others.

► Anything else reasonably requested by the management of the charity.

Person Specification & Key Competencies

► Genuine enthusiasm for the charity’s mission and values.

► Clear, friendly communication style and a helpful, proactive attitude.

► Excellent organisational and administrative skills, with attention to detail and ability to work independently.

► Strong problem-solving skills with a proactive approach to improving processes.

► Confident in liaising with external IT and telecom providers.

► Comfortable using and quickly learning new systems (e.g., Microsoft 365, Teams).

► Basic understanding of IT and data security principles (training available if required).

► Willing to embrace new technologies and adapt quickly to changing needs.
