Job Overview
We are seeking a detail-oriented and highly organised Office Administrator to join our team. The ideal candidate will possess strong administrative skills and a proactive approach to managing office tasks. This role is essential in ensuring the smooth operation of our office environment, supporting various departments, and maintaining effective communication within the team.
Daily tasks to include:
Basic book keeping work in Xero and Customer Relationship Management Suite
Sending invoices and following up on outstanding invoices.
Overview of Company calendar.
Work towards clearing up admin problems relating to out of date client accounts.
Part time 09:00 - 13:00 Monday to Friday.
Responsibilities
* Manage day-to-day office operations, ensuring a well-organised and efficient workspace.
* Handle incoming calls with professionalism and excellent phone etiquette.
* Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
* Utilise Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations.
* Assist with bookkeeping tasks using Xero including invoicing and expense tracking.
* Provide clerical support such as filing, scanning, and managing correspondence.
* Coordinate meetings, prepare agendas, and take minutes as required.
* Support team members with administrative tasks to enhance productivity.
Qualifications
* Previous office experience is essential; administrative experience is highly desirable.
* Proficient computer skills, including familiarity with Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
* Strong organisational skills with the ability to manage multiple tasks effectively.
* Excellent typing skills with attention to detail for accurate data entry.
* Experience with Xero is an advantage but not mandatory.
* Demonstrated clerical experience in an office setting is preferred.
