At HKA, our people are at the heart of everything we do. We are seeking a highly organised and proactive Recruitment Administrator, reporting to Partner, Global People Recruitment and Equality to join our global recruitment team on a 6‑month fixed term contract, supporting senior‑level hiring across the business.
This is a fantastic opportunity to play a pivotal role in delivering a seamless, high‑quality recruitment experience, working closely with senior stakeholders, search partners, and teams across our global network.
Key responsibilities
* Manage global interview scheduling, providing end‑to‑end coordination of Partner and Managing Director candidate interviews, ensuring seamless logistics and an outstanding candidate experience.
* Partner with external head‑hunters to align candidate availability and secure interview bookings for senior roles.
* Liaise with Business Support teams and Office Managers globally to coordinate in‑office interview logistics, including meeting rooms, scheduling and on‑site arrangements.
* Maintain and update recruitment reports and the Applicant Tracking System (ATS), ensuring accurate, real‑time tracking of candidate progress, interview stages, decisions and next steps.
* Produce tailored recruitment reports for key stakeholders, providing clear visibility of pipelines, progress and timelines.
* Track and report on Glassdoor recruitment activity, supporting employer brand monitoring and reporting requirements.
* Provide ad hoc recruitment support as required, responding flexibly to changing priorities and urgent scheduling or coordination needs.
ED&I contribution
* Support Equality, Diversity & Inclusion activities globally.
* Attend and contribute to regional ED&I committees.
* Assist with the communication of ED&I initiatives through internal channels, with opportunities to help lead or support learning sessions.
About you

* Confidence working with senior stakeholders and managing multiple priorities simultaneously.
* A professional, proactive and service‑oriented approach.
* Strong communication skills and the ability to work collaboratively across global teams.
* Previous recruitment, HR, professional services, or coordination experience would be advantageous, but not essential.
